Construction Project Coordinator

This is an office-based role; candidates must be located in, or have a concrete connection to the Tampa metro. FV Services is a family of construction and facilities management solutions providing an all-in-one resource for retail, franchise, and hospitality clients. Since our founding in 2006, we've completed over 1,000 projects nationally — offering Site Selection, Design and Architectural Plans, Construction Management, and Facilities Management, so our clients never have to juggle multiple General Contractors.

We're a national construction management and general contracting firm specializing in commercial tenant improvements, and we're growing — this role sits at the center of that growth.

The Role As an Entry-Level Project Coordinator, you'll be the administrative backbone initially supporting 1 Project Manager across multiple concurrent jobs. This isn't data entry — it's the fastest way to learn how commercial construction actually gets built, with a clear runway to a PM or other construction paths. The best Coordinators don't just log documents; they read them, understand what's being built, and chase down answers before a delay reaches the field.

If an architect goes quiet on a critical RFI, we want someone who calls, finds the workaround, and flags the PM — not someone who sends a follow-up email and waits.

Responsibilities:
  • Document Control:
    Manage the flow of RFIs, submittals, and drawing updates through Procore.
  • Meeting Administration:
    Write and distribute precise, timely meeting minutes.
  • Close-Out Support:
    Gather O&M manuals, warranties, and as-built drawings for project close-out.
  • Discrepancy Tracking:
    Read drawings and specs closely enough to flag field/document discrepancies before they cause delays.
  • Reporting:
    Utilize Procore, Smartsheet, and Microsoft Office for job tracking and reporting.

What Success Looks Like First 3 Months — Absorb & Log

  • Achieve zero backlog in the submittal and RFI logs.
  • Distribute all weekly meeting minutes within 24 hours of adjournment.
  • Build fluency in reading architectural, structural, and MEP drawings well enough to spot glaring errors before logging.

First 6 Months — Drive & Predict

  • Own the close-out process for sub-projects or specific phases.
  • Reduce average RFI turnaround time by actively chasing architects — phone calls, not just email follow-ups.
  • Build foundational knowledge of subcontractor scopes of work and basic construction estimating.

First 12 Months — Graduate & Assist

  • Manage minor change order tracking independently.
  • Routinely flag field/document discrepancies to your PM before they stall the job site.
  • Build baseline scheduling knowledge (e.g., Microsoft Project or Primavera P6) to prepare for promotion to Assistant PM.

Ideal Candidate Profile

  • Bachelor's degree (desired) in Construction Management, Business, Operations Mgmt, or similar
  • Highly organized, detail-oriented, and comfortable managing a high volume of paperwork without letting things slip.
  • A sense of urgency — you close loops instead of waiting on them.
  • Comfort with (or eagerness to learn) construction software like Procore, Smartsheet, and Microsoft Office.
  • No construction experience is required — we're looking for the drive to chase down answers, not a résumé full of jobsite hours. Any familiarity with construction and trades is good, but again, not required.

Cadence: A weekly 30-minute 1:1 with your PM on active project logs and deliverables — plus a separate monthly mentorship conversation with a senior PM (not your day-to-day manager) focused purely on your career growth.
