World International Vacation Club is looking for a sharp, motivated Executive Assistant to join our team in beautiful Palm Springs, CA. This is an exciting opportunity to work at the heart of a dynamic organization, supporting president/CEO and playing a key role in our day-to-day operations. If you are computer-savvy, detail-oriented, able to manage time effectively and love keeping things running smoothly, we want to hear from you!
Responsibilities:
- Serve as the primary point of contact among executives, employees, resort managers, and members.
- Manage the flow of information accurately and in a timely manner.
- Manage and coordinate board of directors and annual member meetings.
- Prepare weekly, monthly, and quarterly reports.
- Support office operations by monitoring and maintaining office supply inventory.
- Prepare and format internal and external communications, including memos, emails, presentations, and reports.
- Record minutes during Board of Directors meetings.
- Screen and direct phone calls and distribute correspondence.
- Organize and maintain the office filing system.
- Handle confidential information with the utmost discretion and professionalism
- Experience in an executive assistant or senior administrative support role
- Exceptional organizational and time management skills with strong attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Canva) and/or Google Workspace
- Strong written and verbal communication skills
- Ability to multitask, prioritize, and adapt in a fast-paced environment
- Professional, polished demeanor with a proactive, problem-solving mindset
- Experience in hospitality, travel, or vacation club industries is a plus
