This position is a fixed term position through June 30, 2027. The Office for Religious & Spiritual Life (ORSL) seeks an Office Assistant who will be part of our diverse ORSL team which supports the Stanford community by offering an array of year-round religious and spiritual events and programs. The position requires an understanding of, and commitment to, the mission and purpose of the Office for Religious & Spiritual Life, which is to oversee the religious and spiritual life of the campus, with care and compassion in not only what we do, but how we do our work for the Stanford community.
The ORSL oversees the following facilities/space, in which a variety of programming occurs: the historic Stanford Memorial Church, at the heart of the campus in the main quad and the third floor of the Old Union which forms the Center for Inter-Religious Community, Learning and Experiences (CIRCLE). In addition, the ORSL oversees programming at Windhover, a contemplative center, whose operations are managed by the office of the Vice Provost for Student Affairs.
COREDUTIES
* Administrative & Event Support
- Serve as the primary receptionist and administrative assistant for the CIRCLE, welcoming and directing visitors and providing support for students and staff.
- Manage and respond to a high volume of phone calls, emails, departmental list servs, and drop-in inquiries.
- Provide administrative coordination for the CIRCLE, including room reservations, setting up and breaking down event spaces, catering, maintaining office supplies for daily and event use, managing digital and print bulletin boards, and other administrative needs as they arise.
- Provide administrative support for University Public Worship, including creating and maintaining a rota of volunteers, drafting the worship script, and sending weekly communications.
- Provide administrative support for the Dean for Religious & Spiritual Life.
- Serve as a member of an operations team and contribute to a wide variety of functional areas including decisions around event logistics and facilities management.
- Regularly consult with stakeholders to determine objectives and requirements. This often includes working with student groups.
- Serve as a member of the overall ORSL staff, attending and participating in regular staff meetings, and contributing to a range of other ORSL events (e.g. being part of the staff team for high profile speaker events, special services including Christmas Eve and Easter, and occasional concerts) as well as university events (e.g. Reunion Homecoming, Commencement).
- Write, edit, and publish brand-appropriate content for distinct audiences, through a variety of channels (e.g. web, print, email, listserv).
- Coordinate the production of all University Public Worship services including the weekly service bulletin, special services, and memorials.
- Print collateral production.
- E-flyer production.
- Event printed program design including organ recitals, lectures, forums, etc.
- Update ORSL website content, regularly and with timeliness (on Drupal).
- Create weekly newsletter (via Mailchimp).
- Build departmental digital community through social media channels.
- Other duties may also be assigned.
High school diploma and three years of administrative experience, or combination of education and relevant experience. Bachelor’s degree preferred.

- Ability to work independently as well as within a tea
- Familiarity with standard office equipment and practices
- Experience and comfortable working on a computer, including experience with Google Suite, database applications, email, internet
- Accurate typing skills
- Ability to lift up to 25 lbs.
