We’re looking for an experienced Executive Assistant to support our CEO and manage the day-to-day operations of our Palo Alto office. We need someone who brings a unique blend of executive support, strategic insight, personal assistance, and office management.
This role is highly dynamic, requiring you to pivot between varied responsibilities, lightening the load for the CEO and contributing to our leadership’s effectiveness. As our Palo Alto office grows, this role will also encompass increasing office management responsibilities.
Responsibilities- Proactively manage calendar scheduling, including professional meetings and personal appointments
- Coordinate domestic and international travel logistics, anticipating needs and managing changes on the fly
- Handle various personal tasks and errands for the CEO, with priorities flexing between executive and personal support
- Act as a key liaison, communicating effectively with internal teams, external partners, and high‑value contacts on behalf of the CEO
- Facilitate strategic networking by identifying and connecting with key individuals within the Silicon Valley landscape and our industry
- Anticipate needs and spot opportunities for improvement, taking initiative to solve problems and streamline processes without explicit direction
- Build and maintain strong, trusting relationships with internal stakeholders and external contacts
- Manage office facilities and logistics for the Palo Alto office, including supplies, maintenance, and vendor relationships as the office expands
- Support onboarding and offboarding processes for new hires in the Palo Alto office, ensuring a smooth experience
- Proven experience as an Executive Assistant supporting a senior executive, preferably in a tech or high‑growth environment
- Demonstrated ability to manage conflicting priorities and switch contexts rapidly while maintaining composure and effectiveness
- Exceptional communication skills (written and verbal), with the ability to tailor your approach to different audiences, including internal leadership
- A strong, established network and deep understanding of the Silicon Valley business and local landscape
- A natural self‑starter with a proactive approach to identifying needs and executing solutions
- High discretion and confidentiality, especially when handling sensitive personal and professional matters
- Strong organisational skills and acute attention to detail
- Experience with basic office management duties, including vendor coordination and facility oversight
- Experience working for a globally distributed company
- Familiarity with the SEO, digital marketing, or SaaS industry
- A track record of successfully navigating and building relationships within complex organisational structures
- Prior experience managing a small office or startup environment
You’ve built a strong foundation of trust with the CEO and key leadership, proactively managing schedules and anticipating needs without constant oversight. You’ve successfully taken ownership of core administrative tasks, allowing the CEO to focus on strategic initiatives. You’ve started to identify and engage with relevant contacts in the Silicon Valley ecosystem, and you’ve seamlessly integrated into managing the existing needs of the Palo Alto office.
