Centers Administrative Coordinator – Stanford Securities Litigation Analytics Project
One‑year fixed‑term position supporting the administrative, operational, and programmatic aspects of the Center’s research mission at Stanford Law School. The role reports to the Associate Director of Administrative Support Services with a dotted‑line reporting relationship to the Executive Director of the Stanford Securities Litigation Analytics (SSLA) Project. It offers hybrid flexibility after the initial three months and requires a minimum of three days per week on campus.
EssentialJob Responsibilities
- Act on behalf of the supervisor or department manager in setting priorities and resolving administrative problems.
- Oversee scheduling, organization, and operation of complex conferences, seminars, and events; arrange vendors, manage logistics, produce and distribute materials, and keep events within budget.
- Serve as liaison between Center staff and the Program Group to coordinate conferences, events, and high‑level speaker needs.
- Compose and edit documents and correspondence for presentations, handouts, grants, conferences, seminars, and reports; create and maintain content for unit documents, displays, reports, brochures, social media, and websites.
- Prepare presentations for the Executive Director’s meetings with donors and other stakeholders.
- Plan and schedule calendars, resolve conflicts, and arrange travel in compliance with university policies.
- Manage the Executive Director’s schedule, understanding the many stakeholders who require in‑person, telephone, or virtual meetings.
- Communicate with outside organizations to arrange meetings and obtain necessary information for the Center.
- Schedule and coordinate regular staff meetings, create agendas, and distribute notes.
- Create complex reports and spreadsheets using specialized software and tools.
- Process complex financial transactions, produce, monitor, and reconcile budget statements; resolve discrepancies and assist with capital or special equipment requests and vendor selection.
- Assist with design and maintenance of digital resource collections created by staff and interns.
- Maintain tracking systems or databases for speakers, participants, donor inquiries, and key market players.
- Maintain the Center’s website, updating content and ensuring accuracy.
- Coordinate recruiting processes for Center staff, interns, or fellows: create job descriptions, post openings, review resumes, schedule interviews, and manage onboarding.
- May lead or supervise day‑to‑day work of students and/or temporary workers, scheduling, assigning, prioritizing workloads, reviewing quality, and providing performance feedback.
High school diploma and four years of administrative experience, or a combination of education and relevant experience.
- Advanced computer skills and experience with office software, email applications, Microsoft Office, and Google Workspace. Knowledge of Oracle Financials and other university systems is desirable.
- Demonstrated success in following through on and completing projects.
- Excellent organizational skills, attention to detail, written and verbal communication, and ability to prioritize, multitask, take initiative, and exercise sound judgment.
- Strong relationship‑building skills with people in person and virtually; excellent customer service and interpersonal skills, preferably in an academic setting.
- Excellent project management skills (planning, scheduling, managing partners/contractors, and communication).
- Experience working with and managing a budget is preferred.
The expected pay range for this position is $39.20 to $45.56 per hour. The final offer will be based on scope, qualifications, budget, and market data.
