OverviewThe Workplace Operations Coordinator ensures smooth day-to-day facilities and workplace operations, keeping sites safe, clean, and functional for employees and visitors. This role manages core processes including invoicing, vendor coordination, supply management, ticket triage, event support, and space audits, while delivering an excellent internal customer experience.
Key Responsibilities- Manage daily invoicing and PO workflows; review, code, and track invoices, resolving discrepancies with vendors.
- Serve as primary contact for facilities vendors; schedule services, track performance, and support contract updates.
- Assist with onsite events and programs; coordinate logistics, AV, catering, and cross-team collaboration.
- Conduct regular site walkthroughs; maintain cleanliness, organization, and workplace standards.
- Manage workplace supplies and inventory; ensure par levels, organized storage, and sustainability goals.
- Respond to tickets, troubleshoot routine issues, and elevate complex matters to appropriate teams.
- Perform space audits and occupancy checks; capture data, identify trends, and provide insights for planning.
- Support moves, desk setups, visitor coordination, and cross-functional workplace operations.
- Experience in facilities, workplace operations, office management, or related roles.
- Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.
- Detail-oriented with basic comfort handling invoices, POs, and spreadsheets.
- Customer-service mindset with professional communication skills.
- Ability to work onsite and perform occasional physical tasks.
- Proactive problem solver with process improvement focus.
- Multi-site or lab/technical facilities experience.
- Event coordination, office moves, or vendor management experience.
- Familiarity with procurement systems, workplace tools (ticketing platforms, Google Workspace, Office, Slack/Teams).
- Passion for creating inclusive, welcoming, and sustainable workplaces.
