The Administrative Assistant performs varied office and clerical duties for the Vice President of Student Development and the Vice President of Administrative Services. The role supports day‑to‑day office activities, maintains confidential records, and facilitates student success activities.
- Type, file, take dictation and compose correspondence, memoranda, emails, reports, and other items, including confidential material.
- Compile and assist in compiling periodic and financial reports.
- Record and transcribe meeting minutes requiring high secretarial skill.
- Answer telephone, greet visitors, schedule appointments, arrange meetings, conferences, and interviews, and maintain the supervisor’s calendar.
- Receive, read, and assemble mail, then transfer mail to supervisor for handling.
- Maintain records, reports, and databases; keep confidential files in scope of supervisor’s responsibilities.
- Perform administrative duties requested by the supervisor.
- Assist supervisor with divisional projects.
- Maintain moderate complexity financial records.
- Research and process purchase orders, monitor budgets, and process payroll timesheets.
- Coordinate activities of student aides to accomplish assigned tasks.
- Perform other related duties as assigned.
- Associate’s Degree in administrative assistant, office technology, secretarial science, or related area; professional administrative assistant certificate; or equivalent college hours.
- Minimum of 4 years of administrative assistant or related experience.

- Excellent ability to manage confidential material and maintain confidence.
- High level of secretarial and office administration skills.
- Demonstrated skills in typing, filing, dictation, transcribing minutes, and composing correspondence from written material, verbal instruction, or independently based on policies; strong interpersonal and communication abilities; skilled in customer service, answering telephones, and greeting visitors.
- Demonstrated understanding of the college’s core values.
- Ability to write and prepare memoranda, emails, reports, type periodic reports, transcribe minutes, and maintain records, reports, databases with attention to detail.
- Highly organized; ability to schedule appointments, arrange meetings/travel, and maintain calendars for senior leadership.
- Ability to assist with occasional event planning, scheduling, and space rentals, as well as other duties.

Monday – Friday 8:30 a.m.–5:00 p.m. (Occasional evenings and Saturdays for special events)
$23.28–$28.40 plus exceptional benefits
