Intake Specialist
The Virga Law Firm - Panama City Beach, FL
Full-Time, In-Person Position
The Virga Law Firm is seeking an energetic, detail-oriented Intake Specialist with a "go-getter" attitude to join our dynamic team in Panama City Beach. As the first point of contact for our clients, both on the phone and in person, you'll play a crucial role in supporting families during challenging times while ensuring efficient practice operations.

Responsibilities
  • Manage high-volume incoming calls with empathy and professionalism
  • Warmly greet and assist clients arriving for appointments
  • Conduct initial client screenings and secure potential leads
  • Schedule consultations and maintain detailed attorney calendars
  • Process new client intake forms and documentation with meticulous attention to detail
  • Provide exceptional customer service to clients in sensitive situations
  • Coordinate with attorneys and staff to ensure smooth client onboarding
  • Perform accurate data entry and maintain detailed records
  • Maintain accurate records in our case management system
  • Take initiative in improving office processes and client experience
Required Qualifications
  • Proven extensive experience in customer service and phone-based communication
  • Strong data entry skills with demonstrated attention to detail
  • Advanced computer proficiency, including calendar management software
  • Exceptional multitasking abilities in a fast-paced environment
  • Professional demeanor and outstanding interpersonal skills
  • Demonstrated positive attitude and proactive approach to problem-solving
  • Strong attention to detail and organizational capabilities
  • Ability to handle confidential information with discretion
  • Experience working under pressure while maintaining composure
  • Track record of taking initiative and exceeding expectations
Work Schedule
  • Monday through Friday
  • 8:30 AM to 5:00 PM
  • In-person at our Panama City Beach office
