Responsibilities
- Responsible for the audit and payment of vendor invoices, ensuring the proper application of credit memorandum and the initiation of accounting entries related to vendor payments, including taking advantage of the benefit of discounts when possible.
- Ensure all financial activity is reflected accurately and completely in the university accounting system.
- Act as the procurement card (P‑card) proxy for all Panama City Campus cardholders, coding weekly transactions for departmental purchasing cards.
- Serve as pre‑pay auditor for all Panama City Campus travel, reviewing travel‑related documents and receipts and working with departments to make corrections prior to final approval.
- Assist vendors and departments with invoice/travel discrepancies, questions, and problems.
- Complete daily deposits from fee intake, including related supervisor close of two cashiers, prepare armored car deposits and associated documents for PC record retention, and take large bills to the bank as needed for cashiering purposes.
- Open cash vault each morning and process transaction voids for cashiers.
- Perform other cut‑offs as assigned by supervisor.
- High school diploma or equivalency and four years of appropriate experience, or a combination of post‑high‑school education and experience equal to four years.
- A valid State of Florida or Georgia Driver’s License, or the ability to obtain one prior to hire.
- Ability to establish effective working relationships with various departments to provide prompt payment on all invoices.
- Effective customer service skills are a must.
- Ability to solve problem issues, which includes researching budgets and balances to process payments.
- Familiarity with accounts payable and Generally Accepted Accounting Principles (GAAP).
- Strong attention to detail to ensure invoices, procurement cards, and travel are processed correctly and timely.
- Ability to prioritize tasks and meet deadlines, especially under time‑sensitive payment due date schedules.
- Participate in guided training sessions on university departments, budgets, and accounts.
- Shadow experienced staff to learn daily workflows and deadlines.
- Gain an understanding of department responsibilities and requirements.
- Take on progressively more independent assignments with ongoing support and feedback.
- Establish strong working relationships with team members and campus partners.
- By the end of the first 60 days, the Accounting Associate is expected to be working independently with training as needed, being familiar with the campus departments, budgets, and policies and procedures, and contributing independently to the department while continuing to develop advanced skills.
- This position requires successful completion of a criminal history background check.
- This position requires the on‑campus schedule:
Mon‑Fri, 8:15 – 5:15. - This position will begin Summer 2026.
