SummaryThe Office Manager is a full‑time position and is considered supervisor, non‑exempt and paid by salary. The role supervises administrative and support services for a larger state or multi‑state business unit. This position may supervise Office Coordinators and other support positions and is responsible for general administrative support, office management, and may supervise processing activities including purchasing, accounts payable, accounts receivable, payroll, and information technology.
The employee works full time in a supervisory and professional capacity, and may perform limited clerical or processing duties. This employee works at the state or operating group office level.
To perform this job successfully, an individual must be able to satisfactorily perform each essential function listed below.
Office Management- Organizes, manages, and maintains physical office space; corresponds with landlord as required.
- Responsible for supervision and oversight of clerical functions including scheduling, data collection, communications and mail; supports operating group and state management teams including operations, quality improvement, human resources, and finance.
- Maintains systems for current licenses, leases, contracts, and agreements.
- Maintains and manages databases and mailing lists; maintains organizational charts.
- Arranges events and meetings for management team.
- Supervises administrative support positions to include hiring, orientation, training, scheduling, evaluation, discipline, and termination.
- Oversees office compliance for employee safety, workers’ compensation programs, and OSHA compliance.
- Oversees data collection and processing of payroll for office employees; on‑boards employees; manages employee background check system.
- Approves and orders supplies and equipment for operating group and/or state office; manages spending for budgetary compliance.
- Orders, distributes, and manages inventory of gas and company purchasing cards.
- Manages local accounts payable processing; handles vendor relations.
- Assists with travel and hotel arrangements.
- Acts as liaison with IT department; assists with local troubleshooting.
- Manages or assists with technology set‑up for operating group and/or state office.
- Orders, distributes, and manages inventory for employee computers, purchase cards, and other IT equipment.
- Performs other related duties and activities as required.
- Supervises administrative and support staff.
Education and Experience
- Associate’s degree in a related field.
- 1‑3 years of administrative and supervisory experience. Proficiency in accounting and basic computer skills and applications is required.
- Current driver’s license, car registration, and auto insurance if driving on behalf of the Company.
- Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.
