We're looking for a dependable, organized, and friendly Front Desk Coordinator to become the face of our office. If you enjoy helping people, thrive in a fast-paced environment, and take pride in keeping things organized, we'd love to meet you.
This is an entry-level position with opportunities for advancement. We believe in promoting from within, and this role has the potential to grow into a Legal Assistant position for the right person.
What You'll DoAs our Front Desk Coordinator, you'll play a vital role in keeping our office running smoothly while ensuring every client receives exceptional service.
Daily Responsibilities- Welcome clients and visitors with professionalism and compassion.
- Escort clients to meeting rooms and notify attorneys of their arrival.
- Offer beverages or snacks to clients during appointments.
- Answer and direct incoming phone calls.
- Schedule consultations and appointments.
- Send court reminder text messages to clients scheduled for court the following day.
- Follow up with clients who are late for appointments.
- Accept client payments and accurately post them into Clio.
- Process incoming and outgoing mail.
- Schedule weekly attorney jail visits.
- Assist with creating deposition cover sheets and uploading deposition audio files.
- Complete our Close Case SOP for resolved matters.
- Maintain a clean, organized, and welcoming reception area and office throughout the week (professional cleaning service visits weekly).
- Stock beverages, snacks, and office supplies while maintaining inventory lists for weekly ordering.
- Monitor the office for maintenance issues and communicate needed repairs to management.
- Assist with seasonal decorations and maintaining a warm, professional lobby presentation.
- Request Google reviews from satisfied clients and assist with follow-up communications.
- Perform additional administrative duties to support attorneys and staff.

Comfortable learning new technology - Experience with Microsoft Office
- Experience with Google Workspace (Gmail, Google Calendar, Google Docs)
- Experience with Clio is a plus, but not required, we will train the right candidate.
