This is an entry-level position with opportunities for advancement. We believe in promoting from within, and this role has the potential to grow into a Legal Assistant position for the right person.

What You'll Do

As our Front Desk Coordinator, you'll play a vital role in keeping our office running smoothly while ensuring every client receives exceptional service.

Daily Responsibilities
  • Welcome clients and visitors with professionalism and compassion.
  • Escort clients to meeting rooms and notify attorneys of their arrival.
  • Offer beverages or snacks to clients during appointments.
  • Answer and direct incoming phone calls.
  • Schedule consultations and appointments.
  • Send court reminder text messages to clients scheduled for court the following day.
  • Follow up with clients who are late for appointments.
  • Accept client payments and accurately post them into Clio.
  • Process incoming and outgoing mail.
  • Schedule weekly attorney jail visits.
  • Assist with creating deposition cover sheets and uploading deposition audio files.
  • Complete our Close Case SOP for resolved matters.
  • Maintain a clean, organized, and welcoming reception area and office throughout the week (professional cleaning service visits weekly).
  • Stock beverages, snacks, and office supplies while maintaining inventory lists for weekly ordering.
  • Monitor the office for maintenance issues and communicate needed repairs to management.
  • Assist with seasonal decorations and maintaining a warm, professional lobby presentation.
  • Request Google reviews from satisfied clients and assist with follow-up communications.
  • Perform additional administrative duties to support attorneys and staff.

Preferred Qualifications
  • Customer service or receptionist experience
  • Administrative or office experience

    Comfortable learning new technology
  • Experience with Microsoft Office
  • Experience with Google Workspace (Gmail, Google Calendar, Google Docs)
  • Experience with Clio is a plus, but not required, we will train the right candidate.
