SUMMARY

The Phone Specialist is responsible for answering incoming telephone calls to the Elizabeth Layton Center. All calls should be answered in a pleasant manner and directed efficiently to the appropriate staff person. The incumbent must exhibit a high level of telephone etiquette, be able to interact appropriately with all levels of staff and have knowledge of organization, activities, and events to direct calls as needed.

Tact and diplomacy are essential qualities in the employee filling this position. The employee must be well organized, a self-starter, quick-thinking, pay particular attention to detail, and be able to perform with a minimal amount of supervision. The position reports directly to the Director of Operations.

MAJOR

JOB RESPONSIBILITIES:
  • Answers multi-line telephone system, assesses calls for emergency, screens/transfers calls and takes messages as needed
  • Schedules upcoming appointments
  • Enters release of information into the electronic health record
  • Assistsin sending correspondence letters to clients
  • Cross-trained in reception dutiesand provides back-up to the front desk when needed.
  • Backfills open time slots on atherapist'sscheduledaily
  • Attends scheduled supervision and staff meetings
  • Maintains confidentiality of all appropriate employee and client information
  • Completes other duties as directed
  • Completes all required trainings as assigned
  • Complies withall ELC policies and procedures
EDUCATION and/or

EXPERIENCE:
  • Graduation from High School or the equivalent
  • Previous clerical or general office experience or training required
  • Previous computer,typingand data entry experience required
  • Previous customer service experience required
  • Any combination ofjob-related experience and/or training which would produce the required knowledge,skillsand abilities
  • Ability to communicate effectively orally and in writing
  • Ability to interact with staff and community members in a manner, whichexhibitsprofessional judgment
  • Hold a valid driver'slicense
  • Ability to pass all required background checks
KNOWLEDGE, ABILITIES, AND

SKILLS:
  • Ability to perform tasks accurately, effectively andin a timely manner
  • General knowledge of modern office practices and procedures
  • Ability to perform basic mathematic calculations accurately
  • Ability to understand and follow oral and written instructions accurately
  • Ability tooperatea typewriter, calculator,computer and other general office equipment
