Job Description
Position: Documentation Specialist
Location: Paola, KS
Job Summary
Under the general direction of the Manager of Engineering and day-to-day direction of the Documentation Coordinator, the Documentation Specialist is responsible for supporting all aspects of document control, data book generation, and mail distribution.
Main Job Duties / Responsibilities
· Ensure a safe working environment is maintained at all times.
· Review, revise, and maintain all documentation processes and procedures.
· Work closely with the Project Managers, Project Engineers, and other
departments to ensure contractual documentation obligations are met.
· Expedite customers, suppliers, and internal personnel to ensure
documentation flow supports the overall production schedules.
· Process, record, distribute/submit, and file project transmittals and
controlled documents.
· Receive, distribute, and file incoming controlled documents (i.e. drawings,
weld procedures, etc.)
· Develop Data Books including: accumulation, segregation, organization,
copying/scanning, and submittal.
· Distribute and control Engineering Standards, Quality Standards, and QA
Manuals.
· Sort and distribute incoming mail;
Prepare outgoing mail and deliver to
Post Office.
· Assist in the evaluation and selection of software required to perform
document control activities in an efficient manner.
Qualifications
Any combination of education and experience providing the required skill and knowledge is qualifying.
Typical qualifications would be equivalent to:
Education/Experience
· High School Diploma required.
· Associate’s Degree preferred.
Skills
· Strong organizational skills
· Good oral and written communication skills
· Strong interpersonal communication skills
· Good time management skills
· Good multi-tasking capabilities
· Ability to work independently with little direct supervision
· Proficiency with computers (eg. web base sites)
· Proficient working knowledge of computer programs, including Microsoft
Office products, and Adobe required.
· Valid driver’s license and proof of insurability
