GISI CG is searching for an accomplished Senior Executive Assistant to provide direct, daily support to the CEO, Chief of Staff and the Executive Leadership Team. This individual will also serve as a highly trusted senior-level support partner, ensuring the CEO and Chief of Staff are organized, prepared, and positioned for successful execution of key priorities. As a trusted member of the executive office, the role demands exceptional professionalism, discretion, and adaptability to manage expertly a fast-moving and dynamic environment.
The Senior Executive Assistant will deliver seamless administrative, logistical, and operational support, enhancing the executive’s efficiency across a wide range of engagements with clients and other important stakeholders. The ideal candidate excels at transforming ideas into compelling presentations, acting as an information gatekeeper, facilitating board meetings and events, and building vital connections between the CEO and other departments. Success in this role requires executive presence, strong judgment, proactive problem solving, attention to detail, and the ability to navigate ambiguity, anticipate needs while operating independently in a fast-paced high-performance environment.
This role is based in Park City, Utah with the expectation to work in an office environment up to 3-4 days per week when the CEO is in town. The ability to work virtually when needed and the flexibility to provide after-hours support (either for an event or travel assistance) is required.
Reporting- This role will directly report to the GISI CG Chief of Staff, while also responding to direct requests from the CEO
Executive Responsibilities
- Provide high-level operational and administrative support to the CEO and Chief of Staff. Assist in tracking executive priorities and ensuring timely follow-through on key initiatives led by leadership
- Lead planning and flawless execution of company meetings and events, including executive leadership sessions, All Hands meetings, board meetings, and retreats
- Draft and refine executive communications on behalf of the CEO and Chief of Staff, including memos, emails, and presentations. Assist with data compilation, reporting, and special projects as directed
- Design, implement, and maintain structured organizational systems for the executive office, including digital filing architecture, shared document management, action tracking, and meeting preparation workflows
Calendar and Travel Management
- Independently coordinate complex international and domestic travel, including flights, accommodations, visas, transportation, and security requirements
- Prepare and distribute comprehensive daily itineraries and briefing materials
- Anticipate executive needs and resolve potential scheduling conflicts proactively
- Demonstrate agility in managing last-minute changes and shifting priorities
- Optimize the executive's dynamic calendar, strategically prioritizing engagements and ensuring seamless coordination across multiple time zones
- Coordinate complex scheduling with internal leadership, external stakeholders, and international counterparts
Local Office Support
- Oversee office operations, including maintaining records, ordering supplies, coordinating vendors, managing guest registration, and liaising with building management as needed
- Advanced Microsoft Office & Presentation Support
- Provide expert support with Microsoft Word, Excel, and PowerPoint for document creation, data analysis, and presentation development
- Draft correspondence, reports, spreadsheets, and analytical materials to support executive activities
- Deliver basic IT application support or coordinate with the IT help desk to resolve technical issues for executives
Other Duties
- Manage financial record-keeping, including expense tracking, invoice review, and processing for executive approval.
- Design and maintain comprehensive, highly organized digital and physical filing systems to ensure efficient information access and workflow continuity within the executive office
- Serve as the primary liaison with external IT support to ensure office systems and equipment remain secure and fully operational
- Bachelor’s Degree in Human Resources, Business Administration, Communications or a related field
