We are looking for a detail-oriented and energetic administrative assistant for an entry-level position to join our team at our Fremont office.

Responsibilities:

• Proficiency in Microsoft Word/Excel/Outlook
• Proficiency in internet browsing
• Answer phones and greet visitors
• Handle requests and queries appropriately.
• Manage diary and schedule meetings and appointments.
• Collate and distribute mail
• Organize and maintain office filing system, both electronic and physical
• Maintain documentation of Vendors and contractors.
• Review and pay invoices/bills and ensure packaging slips are filed accordingly.
• Assist with office personnel and oversee the operation.
• Ordering and source office supplies and parts.
• Maintain employees' files and their insurance benefits.
• Maintain valid Contractor's certificate of Insurance, licenses, certificates, and business tax certificates.

Qualifications:

• Must possess proficient computer skills and be willing to adapt to learn new technology.
• Must have proficiency in the English language.
• Outstanding organizational and time management skills.
• Up-to-date with the latest office gadgets and applications.
• Ability to multitask and prioritize daily workload.
• Excellent verbal and written communications skills.
• Maintain discretion and confidentiality.
• Possess a valid California Driver's License.
