Position SummaryThe Accounting Specialist – Accounts Receivable is responsible for managing the company’s billing, collections, and cash application processes. This role ensures accurate and timely recording of receivables, maintains positive customer relationships, and supports the overall financial health of the organization.
Key Responsibilities Billing & Invoicing- Prepare and issue accurate customer invoices in accordance with contracts or purchase orders.
- Verify pricing, terms, and account information prior to billing.
- Maintain customer account records and update information as needed.
- Ensure invoices are distributed promptly via mail or electronic delivery systems.
- Monitor customer accounts for outstanding balances and aging reports.
- Contact customers regarding overdue payments and work to resolve discrepancies or disputes.
- Record and track collection efforts and communications in the system.
- Collaborate with the sales and operations teams to resolve billing issues or payment delays.
- Record and apply customer payments (checks, ACH, wire, credit card) to appropriate accounts.
- Reconcile AR subledger to the general ledger monthly.
- Identify and resolve unapplied cash, short payments, and over payments.
- Assist with monthly, quarterly, and annual closing processes by preparing AR reports and schedules.
- Generate and analyze AR aging reports and provide updates to management.
- Maintain compliance with company policies and accounting standards (GAAP).
- Support audits by preparing documentation and responding to inquiries.
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
- 2–4 years of experience in accounts receivable or general accounting.
- Strong knowledge of AR processes, invoicing, and collections best practices.
- Proficiency in accounting software (e.g., Quick Books, Net Suite, SAP, or similar) and Microsoft Excel.
- Excellent attention to detail, organization, and time management.
- Strong communication and customer service skills.
- Ability to handle sensitive information with confidentiality and professionalism.
- Office-based position with standard business hours.
- May require occasional overtime during month-end or year-end close.
