Position SummaryThe Risk Management Coordinator serves as the organization’s internal legal operations specialist, managing day-to-day legal matters, minimizing outside counsel costs, and ensuring compliance across contracts, investigations, records requests, policies, and regulatory requirements. This role acts as the primary liaison between The Children’s Guild and external legal counsel, coordinating information flow, managing case files, and handling subpoena responses, EEOC matters, and employee-related legal proceedings.
Reporting directly to the Chief Human Resources Officer, this position is critical to protecting the organization’s legal interests while supporting its mission-driven work.
- Serve as the primary internal resource for managing legal matters, reducing reliance on outside counsel, and minimizing legal fees.
- Act as the intermediary between external legal counsel and internal stakeholders to collect, organize, and disseminate information efficiently.
- Conduct legal research, information gathering, and summarization to support organizational decision-making.
- Collect, organize, and maintain legal records and documentation in support of ongoing and potential legal matters.
- Educate and brief outside counsel on organizational context, policies, and operations to ensure effective representation.
- Administer and manage organizational contracts, ensuring compliance with contract law and internal policies.
- Monitor incoming legal correspondence, filings, and regulatory notices, routing them to appropriate parties.
- Prepare and deliver monthly compliance and legal activity reports to leadership.
- Coordinate with external vendors and partners on legal and compliance-related matters, including garnishment processing and collections.
- Receive, review, and respond to all subpoenas, including subpoenas for student records and video footage, ensuring proper legal validity before releasing information.
- Prepare responsive records with appropriate red actions (e.g., removing names of other students) and cover letters in compliance with FERPA and applicable privacy regulations.
- Manage case files for employee-related legal matters, including EEOC complaints and lawsuits, maintaining organized and confidential documentation.
- Conduct and support internal investigations as assigned, ensuring thorough documentation and adherence to organizational policy.
- Manage the policies required to comply with our regulating bodies and that are key to effective and efficient operations of the organization.
- Lead and facilitate the on-going review of policies by collaborating with functional leads to make updates, create new policies, and retire expired policies as needed.
- Update policy library on company intranet.
Required Qualifications
- Associate’s degree required; bachelor’s degree preferred.
- 3–5 years of experience in a legal support, paralegal, compliance, or legal operations role.
- Demonstrated experience with contract administration and legal document management.
- Understanding legal research methods, records management, and confidentiality requirements.
- Excellent written and verbal communication skills with the ability to summarize complex legal matters clearly.
