About the Role: The Winemaking Administrative Assistant prepares and ships wine samples, enters and maintains accurate data in winemaking tracking systems, and organizes internal tastings. This role keeps sample shipments, wine chemistries, and documentation moving accurately and on schedule. The ideal candidate is detail-oriented, comfortable managing multiple priorities in a fast-paced environment, and confident using MS Office along with O'Neill's ERP system.

They take initiative, communicate clearly, and can shift priorities quickly in consultation with winemakers, all while following plant and laboratory safety policies and procedures.

DUTIES AND RESPONSIBILITIES:

  • Blend and prepare wine samples for shipping
  • Set up shipping online via Fed Ex, UPS, and other delivery providers
  • Collate and manage documentation associated with sample shipping
  • Track sample shipments and alert the initiator of delayed, missing, or damaged shipments
  • Use MS Office and O’Neill’s ERP to pull wine compositions and run trial compositions
  • Collaborate with Winery Operations to direct sample pullers and obtain wine chemistries
  • Collaborate with Compliance to ensure appropriate tracking of wine withdrawals and shipments
  • Collaborate with Bottling to fulfill blended shipping requests of bulk and finished goods
  • Enter data into winemaking tracking systems efficiently and accurately
  • Prepare and organize winemaking tastings, including sample labeling, physical set-up and tear-down, and tasting sheet creation
  • Digitize and manage winemaking documentation
  • In consultation with winemakers, prioritize workflow and change priorities when needed
  • Follow plant and laboratory safety policies and procedures
  • Perform miscellaneous tasks for winemakers, such as benchtop blends and trials
  • Track inventory of office and sample shipping supplies
Requirements

QUALIFICATIONS:

  • Previous experience working in the beverage or food processing industry preferred
  • Demonstrated interest in winemaking, fermentation science, or food processing.
  • Strong ability to work independently while maintaining clear communication with the team.
  • Strong clerical skills
  • Proficiency in MS Office
  • Ability to work up to six days a week on variable or rotating shifts
  • Ability to measure volumes using graduated cylinders, pipettes, and similar tools
