Job Description

Holton Wise Property Group is a commercial and residential real estate brokerage headquartered in Parma, Ohio. The firm sells over 400 properties per year and provides a range of services across Cuyahoga County.

The Transaction Coordinator assists the Real Estate Broker in closing transactions by ensuring all documents are correctly completed, signed, and filed.

  • Assist Real Estate Agents in closing transactions.
  • Verify that commissions received from title companies match the Real Estate Sales Contract.
  • Greet visitors and announce their arrival appropriately.
  • Answer, screen, and transfer incoming phone calls; obtain basic information before transfer.
  • Take and distribute messages from clients, buyers, sellers, title companies, lenders, tenants, utility companies, and other vendors.
  • Make outbound calls and email to clients, buyers, sellers, title companies, lenders, tenants, utility companies, and other vendors.
  • Act as a gatekeeper by filtering important calls that need to be transferred versus those that can be handled by this position, including providing callers with basic company information and deterring solicitation, sales, and marketing calls.
  • Receive, sort, and forward incoming mail.
  • Fill out and mail direct marketing materials to potential clients; ensure mail is picked up and distributed daily.
  • Coordinate contractor, sales agent, and leasing agent schedules and appointments.
  • Assist in ordering, receiving, stocking, and distributing office supplies.
  • Perform other related office duties such as photocopying, light office cleaning, emailing, and filing.
Qualifications
  • High school diploma or equivalent.
  • Exceptional communication skills and a calm demeanor, especially during high‑pressure situations.
  • Fluency in Microsoft Office applications, including Word and Excel.
  • Proactive and resourceful with the ability to work with minimal supervision.
  • Availability to work between 11 am and 5 pm, Monday through Friday.
