Transaction Coordinator / Broker Assistant
The Holton Wise Property Group is a Commercial and Residential Real Estate Brokerage headquartered in Parma, Ohio. We help people buy, sell, and rent properties throughout Cuyahoga County. The company sells over 400 properties per year and manages a large rental portfolio.
OverviewAssist the Real Estate Broker in closing transactions, ensuring all required documents are completed, signed, and filed correctly.
Responsibilities- Coordinate document management, ensuring all forms are correctly filled, signed, and filed.
- Meet and greet clients, assisting with document signing.
- Verify commission amounts received from title companies match the sales contract.
- Screen, answer, and route incoming phone calls; gather basic information before forwarding.
- Takes and distributes messages from clients, sellers, title companies, lenders, tenants, and vendors.
- Make outbound calls and send emails to clients, lenders, and vendors.
- Filter important calls to be transferred to brokers; handle routine inquiries and deter solicitation.
- Receive, sort, and forward incoming mail.
- Create and distribute direct marketing materials to potential clients; ensure daily pickup and distribution.
- Coordinate inspections, appraisals, and property showings.
- Relay updates to the broker on all pending transactions.
- Order, receive, stock, and distribute office supplies.
- Assist broker’s Realtors in filing and closing their transactions.
- Perform general office duties including photocopying, light cleaning, coffee making, marketing material stuffing, and filing.
- High school diploma or equivalent.
- Experience in customer service.
- Exceptional written and oral communication skills.
- Calm demeanor, especially in high‑pressure situations.
- Proficient in Microsoft Office applications (Word & Excel).
- Proactive, resourceful, and able to work with minimal supervision.
- Non-smoker.
- Available to work 35–40 hours per week between 11 am and 5 pm, Monday through Friday.
Pay: $15 per hour.
