The Payroll & Accounting Specialist is responsible for the full-cycle preparation, processing, reconciliation and compliance of complex, multi-entity and multi-state payroll operations. This position requires a strong working knowledge of payroll tax regulations, wage and hour compliance, garnishment administration and payroll system management, along with a solid understanding of accounting principles and general ledger integrations. Payroll & Accounting Specialists partners closely with Finance, HR and external vendors to ensure payroll accuracy, proper-internal controls and compliance with all federal, state and local regulations.

Key Responsibilities
  • Own and process bi-weekly multi-state, multi-entity payroll, including commissions, bonuses, variable compensation and independent contractors.
  • Ensure compliance with federal, state and local wage and hours laws, payroll tax regulations, garnishments and benefit deductions.
  • Manage payroll tax registrations, filings and payments across all jurisdictions.
  • Oversee year-end processing, including W2 and 1099 preparation and distribution.
  • Audit and validate time and attendance records across all locations and pay groups.
  • Review and resolve timekeeping exceptions, PTO balances, and pay discrepancies in coordination with managers and HR.
  • Provide training and guidance to managers and employees on proper timekeeping procedures, reporting and system use.
  • Process and verify all authorized payroll changes, including new hires, terminations, compensation adjustments, and benefit updates.
  • Serve as the primary point of contact for employee payroll inquiries and resolve issues professionally and confidently.
  • Maintain payroll data accuracy within HRIS and payroll systems.
  • Prepare and review payroll entries and ensure accurate integration with the general ledger.
  • Reconcile payroll-related balance sheet accounts, including accrued wages, taxes payable and benefit liabilities.
  • Support month-end and year-end close processes related to payroll.
  • Maintain payroll system integrity and internal controls.
  • Support HRIS system/module implementations, testing and employee training.
  • Develop and maintain payroll process documentation and SOPs.
  • Generate recurring and ad hoc payroll and compensation reports for leadership.
  • Participate in special projects or other duties as assigned.
Required

Qualifications & Skills:
  • Minimum 5+ years of full-cycle payroll processing experience, including multi-state payroll in a multi-entity environment.
  • Demonstrated experience independently managing payroll for 100+ employees.
  • Strong working knowledge of payroll tax registrations, filling and compliance requirements.
  • Experience reconciling payroll to the general ledger and support month-end close.
  • Hands-on experience with payroll and timekeeping systems (UKG or comparable HRIS/payroll platform).
  • Advanced proficiency in Microsoft Excel (pivot tables, lookups, data validation, reconciliation analysis)
  • Must have reliable transportation and the ability to perform essential job functions.
Preferred

Qualifications & Skills:
  • CPP (Certified Payroll Professional) certification strongly preferred.
  • Bachelor’s degree in accounting, finance, business administration, or related field.
  • Experience in a multi-location or retail healthcare environment.
  • Experience supporting payroll related audits and regulatory reviews.
