Rehab Services Receptionist

Labette Health is seeking a friendly, organized, and customer-focused Receptionist to join our Rehabilitation team. This position serves as an important first point of contact for patients and families while supporting therapists and clinical staff in providing an efficient, welcoming, and professional environment.

Summary

The Rehab Receptionist is responsible for front desk operations within the Rehabilitation Services, including greeting patients, scheduling and registering therapy services, verifying insurance information, managing patient records, processing payments, and coordinating communication between patients, clinical staff, and physicians. The receptionist helps ensure smooth administrative operations while providing excellent customer service and maintaining patient confidentiality.

Essential Duties and Responsibilities
  • Greet patients, families, and visitors in a professional and courteous manner
  • Schedule and register patients for therapy services
  • Answer and appropriately route calls using a multi-line phone system
  • Verify insurance benefits and assist with obtaining prior authorizations as needed
  • Collect co-pays and provide patients with appropriate financial information
  • Maintain accurate patient records in compliance with HIPAA and organizational policies
  • Track cancellations and no-shows and follow up as appropriate
  • Assist therapists with retrieving documentation and managing patient charts
  • Prepare, scan, and file patient forms and documentation
  • Coordinate communication between patients, therapists, physicians, and other staff
  • Maintain office supplies and a clean, organized front desk area
  • Participate in routine safety checks and help maintain a safe environment
  • Provide responsive, compassionate customer service to patients and families
Qualifications
  • High school diploma or equivalent required;
    Associate’s degree preferred
  • One year of experience in a healthcare or medical office setting preferred
  • Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook
  • Experience with EHR systems such as Meditech, OptimisPT, or similar systems preferred
  • Strong organizational, communication, and customer service skills
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Ability to handle sensitive patient information with confidentiality and discretion
  • Strong attention to detail and accuracy
  • Ability to work effectively as part of a healthcare team
