The
Employee Benefits Coordinator
provides essential in-house support to Client Management teams by handling internal service requests related to employee benefits. This entry-level role is ideal for someone who is detail-oriented, organized, and eager to grow within the employee benefits industry. The Benefits Coordinator works under the guidance of the Employee Benefits Support Supervisor, cross-collaborates with the Client Management team, and contributes to the overall efficiency and quality of service delivery.

Essential Duties and Responsibilities
  • Respond to internal service requests from the Client Management team, ensuring timely and accurate task completion.
  • Prepare administrative materials such as plan matrices, proposals, claims history reports, enrollment data, and billing summaries.
  • Create, update, and format client-facing communication materials, including benefit guides, strategic presentations, and compliance documents.
  • Track deadlines and assist with the preparation and submission of compliance documents (e.g., ACA reporting, COBRA notices, ERISA disclosures).
  • Coordinate with insurance carriers to request data, obtain quotes, confirm plan details, and resolve discrepancies.
  • Support client meetings, wellness fairs, and open enrollment events by coordinating logistics and preparing materials.
  • Assist with onboarding new clients by collecting documentation, setting up internal systems, and preparing welcome materials.
  • Compile benchmarking data to support client benefit comparisons and strategic planning.
  • Maintain accurate records and perform data entry, scanning, and document management in systems such as SharePoint, Epic, and Smartsheet.
  • Conduct peer reviews of client materials to ensure accuracy and consistency.
  • Generate and maintain internal reports to track client activity, service requests, and project timelines.
  • Handle routine inquiries and internal communications professionally and efficiently.
  • Support special projects and ad hoc assignments as needed.
  • Collaborate with internal departments and external partners to resolve issues and improve workflows.
  • Participate in training sessions and team meetings to enhance knowledge and contribute to team development.

What We're Looking For
  • A high school diploma or equivalent is required; an associate or bachelor’s degree is preferred but not required.
  • Excellent verbal and written communication skills, with the ability to interact professionally with internal teams and stakeholders.
  • Strong analytical skills with the ability to interpret data, identify trends, and support problem-solving efforts.
  • Working knowledge of Microsoft Office applications, including

    Excel, Word, Outlook, and PowerPoint.
  • Demonstrated ability to manage time effectively, stay organized, and prioritize tasks in a fast-paced environment.
  • Dependable, self-motivated, and eager to learn and grow within the employee benefits and insurance industry.
  • A collaborative mindset and a respectful, team-oriented approach to work.

Salary Range: $45,000 USD - $50,000 USD
