Executive Assistant & Operations Coordinator
Pay Rate: $40/hr
Duration: 3–5 Month Assignment (Potential Extension)
Schedule: Monday–Friday, 8:00 AM–6:00 PM
Seeking a polished, highly organized Executive Assistant & Operations Coordinator to provide direct support to the Founder & CEO while overseeing day‑to‑day business operations. This role is ideal for a proactive professional who thrives in a fast‑paced entrepreneurial environment and can confidently manage multiple priorities with minimal supervision.
Key Responsibilities:
- Manage executive calendars, scheduling, travel arrangements, and meeting coordination
- Serve as a primary point of contact for executives, vendors, customers, and business partners
- Coordinate operational workflows, order fulfillment, and logistics activities
- Support customer service inquiries, escalations, refunds, and shipping resolutions
- Maintain Shopify product listings, inventory records, and operational documentation
- Assist with invoice tracking, vendor payments, reporting, and administrative processes
- Coordinate property‑related vendor communications, maintenance requests, and documentation
- Support special projects and cross‑functional initiatives across the business
Qualifications:
- 3+ years of Executive Assistant, Operations, Office Management, or Business Operations experience
- Exceptional organizational, multitasking, and communication skills
- Strong attention to detail and ability to handle confidential information
- Experience with Shopify, Quick Books, or similar business systems preferred
- Proficient in Microsoft Office Suite, particularly Excel
- Self‑starter with a proactive, solutions‑oriented mindset
