Front Desk Receptionist

We are a leading engineering company committed to water and energy security and the energy transition. As a Front Desk Receptionist, you will work alone to greet and check in all visitors. Working hours are Monday through Friday 8:00 a.m. to 4:30 p.m. with a 30-minute lunch break. Some overtime may be required. Attire is business casual and must reflect a professional character.

Responsibilities
  • Upon arrival, ensure lights are on and the TV with the safety message is turned on.
  • Answer, screen, and forward incoming phone calls using a multi-line telephone system.
  • Personably greet and welcome walk-in customers/visitors, ensure they are signed in, and direct them to the appropriate staff member.
  • Direct visitors to the appropriate person and office.
  • Maintain a fully manned reception desk and continuous coverage of the main telephone line during business hours.
  • Perform brief safety orientation for customers/visitors entering the premises when applicable.
  • Manage inventory and purchase office supplies; create and maintain an inventory spreadsheet for admin and sales supplies.
  • Manage and update the conference room calendar; set up, break down, and maintain conference rooms for all operations and executive meetings.
  • Organize and order lunch on an as-needed basis and oversee sorting and distribution of mail to both the administration and shop buildings.
  • Prepare outgoing mail (UPS/Fed Ex envelopes, packages, etc.).
  • Perform other clerical receptionist duties such as filing, photocopying, data entry, etc.
  • Keep common areas clean and organized.
  • Provide assistance to other departments as needed and per supervisor approval.
Required Experience and Skills
  • Proficient use of Microsoft Word, Excel, and PowerPoint.
  • Professional attitude and appearance.
  • Excellent communication and organizational skills.
  • Customer-service orientation.
  • Ability to independently perform substantial clerical and office work.
  • Proficiency with a multi-line telephone system, computer, copier, and other office equipment.
  • Self-motivated with initiative and ability to multitask.
  • Team-oriented, able to interact with multiple departments.
  • Fluency in English and Spanish is required.
