Position: Senior People & Operations Specialist

Company Overview

Wolf Cycle is a cutting‑edge Conversational Marketing Agency that specializes in helping professional sports teams, entertainment venues, and ticketing platforms engage, convert, and retain customers through AI and conversation marketing strategies. We leverage AI‑driven technologies to create personalized and meaningful interactions between brands and their customers. The Senior People & Operations Specialist plays a critical role in ensuring the operational foundation of the company is reliable, compliant, and built to last.

Position Overview

The Senior People & Operations Specialist serves as the operational control center for payroll, compliance, and revenue operations. This role is designed for a true operator — someone who builds systems, creates checklists, tracks dependencies, and anticipates problems before they impact the business. This is a behind‑the‑scenes role for a detail‑driven professional who values precision over praise and reliability over visibility.

You will own core operational functions across payroll, benefits, compliance, and financial operations, ensuring accuracy, consistency, and audit‑ready processes at all times.

Key Responsibilities
  • Act as the internal authority on payroll, HR operations, and compliance decisions
  • Partner with leadership to recommend improvements to operational structure and tooling
  • Ensure commission logic, approvals, and payout timing are clearly documented and consistently applied
  • Maintain version‑controlled commission plans and payout records
Payroll, Finance & Revenue Operations
  • Own and manage payroll and commission processing, ensuring accuracy, timeliness, and proper documentation
  • Manage Quick Books, including day‑to‑day administration and accounts receivable tracking
  • Ensure payroll, commission, and revenue data remain aligned and dependable
HR Operations & Systems Ownership
  • Serve as the primary owner of ADP, including onboarding, offboarding, employee changes, and system integrity
  • Manage and administer employee benefits, acting as a reliable point of coordination
  • Maintain accurate employee records and HR documentation
Compliance & Risk Management
  • Oversee multi‑state business compliance and registrations, ensuring all entities remain in good standing
  • Track and maintain certificates of insurance (COIs) for clients, vendors, and partners
  • Build compliance workflows that are repeatable, auditable, and low‑risk
Operational Excellence
  • Build and maintain systems, SOPs, and checklists that reduce dependency on institutional knowledge
  • Track dependencies across payroll, HR, finance, and compliance
  • Anticipate operational risks and proactively resolve issues before they surface

Keep operational processes clean, documented, and dependable
Additional Areas
  • Support policy development by translating operational needs into clear, usable documentation
  • Assist with recruiting operations, including coordination and onboarding process support
What Success Looks Like
  • Payroll and commissions run error‑free and on time
  • Compliance items are tracked proactively, not reactively
  • Leadership never has to “check behind” core operational processes
  • Systems and documentation allow the company to scale without chaos
Qualifications
  • 5+ years of experience in HR operations, payroll, finance operations, or a similar operational role
  • Hands‑on experience with payroll, commissions, benefits, and HR systems (ADP preferred)
  • Strong working knowledge of Quick Books and accounts receivable processes
  • Experience supporting multi‑state business compliance
  • Exceptionally detail‑oriented with a systems‑first mindset
  • Comfortable operating independently and owning critical workflows end‑to‑end
  • Ability to thrive in a fast‑paced, growing organization where reliability matters
Benefits
  • Competitive salary and performance‑based bonuses
  • Paid health/dental & vision benefits (Cigna)
  • 401(k) match at 3%
  • Professional development and training opportunities
  • Opportunity to shape the future of conversational marketing
  • Paid holidays, unlimited vacation/sick time, and flexibility to work remote
