Roles:

Your primary role will be to ensure that every client who contacts us has a tremendous service experience. Whether they are a first-time caller or one of our oldest clients, we want them to feel like they are the most important client we have. We want them to feel like we will do everything we can to help them achieve their goals or solve their problems.

This role requires an exceptional customer service attitude and a commitment to helping the client. You need to be a self-starter who follows through, and sometimes this will require perseverance and creativity in finding a solution to a client’s problem.

Your secondary role will be to ensure that the office functions efficiently.

This job requires onsite presence during normal business hours (9am - 5pm)

Compensation:

Salary range – $70,000 to $80,000 with bonus available based on performance

Qualifications:
  • Fantastic customer service orientation and positive attitude
  • Attention to detail and accuracy
  • Excellent written and verbal communication skills
  • Flexibility in using the phone or email to communicate the way the client wants
  • Solid technical skills (Microsoft Office specifically and a CRM system generally)
  • High School degree required
  • Prior experience in equivalent role within the Financial services industry is a plus
Duties And Responsibilities:
  • Build and maintain relationships with our clients while providing exceptional client service managing client requests.
  • Review, maintain and process account documents and information as well as solve potentially complex issues and assignments related to client accounts and transactions.
  • Assist clients in completing various forms, including but not limited to, pre-populating forms with needed information, sending them to clients in the format the client requests, and following up to retrieve and submit the completed forms.
  • Assist clients in obtaining needed tax information from custodians.
  • Track statement receipt and processing for all held-away accounts.
  • Follow through on the details and the deadlines to make sure that client requests are met.
  • Advocate for the client and successfully resolve service disputes between clients and custodians or outside service providers.
  • Be watchful for, and report, suspicious activity to protect clients from being scammed.
  • Serve as primary liaison between our firm and the custodians we use to successfully resolve disputes between the client and the custodian.
  • Professionally represent the advisors in client interactions to obtain information and schedule appointments.
  • Keep management systems up to date with appropriate notes documenting your actions with clients or vendors.
  • Maintain office supply levels, manage mail and currier services, coordinate service delivery with outside vendors and our landlord.
