Immediately need for an AV support specialist who can start as soon as this coming Monday July 20th, 100% on site in Pasadena. 3 to 6 months pure contract position on W2

Position Summary

The Audio Visual (AV) Support Specialist provides technical support for conference rooms, meeting spaces, classrooms, and special events. This position ensures that AV equipment and room-based collaboration systems operate reliably in Microsoft Teams and Zoom environments.

The specialist will provide hands‑on assistance before and during meetings, troubleshoot equipment and connectivity issues, perform routine maintenance, and help users operate conference room technology effectively.

Key Responsibilities
  • Provide on‑site AV support for conference rooms, meeting spaces, classrooms, and special events.
  • Support Microsoft Teams Rooms, Zoom Rooms, and meetings using standard Zoom and Microsoft Teams applications.
  • Set up and test AV equipment before meetings, presentations, video conferences, and events.
  • Troubleshoot cameras, microphones, speakers, displays, projectors, touch panels, room controllers, computers, cables, and wireless presentation systems.
  • Assist users with joining, hosting, and managing Zoom and Microsoft Teams meetings.
  • Resolve audio, video, screen‑sharing, content‑presentation, echo, feedback, and connectivity problems.
  • Monitor high‑profile meetings and provide immediate technical assistance when needed.
  • Perform routine inspections and preventive maintenance of conference room equipment.
  • Identify equipment failures and coordinate repairs, replacements, or vendor support.
  • Install, configure, and test replacement AV equipment and peripheral devices.
  • Verify that room computers, firmware, software, and AV applications are functioning properly.
  • Maintain accurate records of AV equipment, room configurations, repairs, warranties, and recurring issues.
  • Create and maintain documentation, quick‑reference guides, and standard operating procedures.
  • Provide basic training to employees on the use of conference room technology, Zoom, and Microsoft Teams.
  • Track and resolve AV‑related incidents and service requests using the organization’s ticketing system.
  • Coordinate with Help Desk, networking, telecommunications, facilities, and other IT teams to resolve complex issues.
  • Support occasional evening, weekend, or after‑hours events as operational needs require.
Required Qualifications
  • Experience supporting AV equipment in conference rooms, classrooms, meeting spaces, or event environments.
  • Experience supporting Zoom, Microsoft Teams, or similar video conferencing platforms.
  • Working knowledge of cameras, microphones, speakers, displays, projectors, room control systems, and presentation equipment.
  • Ability to troubleshoot audio, video, computer, network connectivity, and peripheral‑device issues.
  • Familiarity with Windows and macOS computers.
  • Strong customer service and communication skills.
  • Ability to remain calm and professional while supporting time‑sensitive or high‑profile meetings.
  • Ability to explain technical information clearly to nontechnical users.
  • Strong organizational, documentation, and problem‑solving skills.
  • Ability to work independently and collaborate with other IT teams.
  • Ability to lift, move, and install AV equipment weighing up to 40 pounds.
Preferred Qualifications
  • Experience supporting Microsoft Teams Rooms and Zoom Rooms.
  • Experience with AV control and collaboration platforms such as Crestron, Extron, Logitech, Poly, Biamp, Shure, QSC, or similar systems.
  • Familiarity with AV‑over‑IP, network‑connected AV devices, VLANs, DHCP, and basic network troubleshooting.
  • Experience providing executive‑level or white‑glove meeting support.
  • Experience working in a university, corporate, or large institutional environment.
  • Experience using Service Now or another IT service management platform.
  • Relevant AV or IT certifications, such as AVIXA CTS, Microsoft Teams Rooms, Zoom, CompTIA, or manufacturer‑specific certifications.
