Job Summary
Performs a wide variety of advanced administrative and clerical duties in support of tracking systems such as work orders, preventative maintenance, contracted services, procurements, and office reporting using the Computerized Maintenance Management System (CMMS) and other Microsoft Office programs.

Performs a wide variety of advanced administrative and clerical duties in support of tracking systems such as work orders, preventative maintenance, contracted services, procurements, and office reporting using the Computerized Maintenance Management System (CMMS) and other Microsoft Office programs.
Additional Work Days/Hours- Summer hours
- Assist in establishing and maintaining a WO control system for tracking maintenance department orders related to age, material delivery, and accuracy of data entry.
- Maintain accurate CMMS files, records, and spreadsheets for contracted services.
- Maintain preventative maintenance schedules in the CMMS and update PM schedules.
- Maintain data within the CMMS related to building equipment, warranties, operations, and maintenance.
- Compile information and records used for the procurement of contracted services.
- Generate reports to support maintenance department managers and relay maintenance data to other departments.
- Assist maintenance departments with data entry into CMMS.
- Finalize documents that are distributed by the maintenance departments.
- Perform administrative tasks such as answering phones, filing, and scheduling meetings in Outlook.
- Act as backup for payroll entry/processing as required.
- Perform other related duties as assigned within the same classification or lower.

Education- High School Diploma or Equivalency Certificate required; and
- Some college level courses in general studies, business, or computers preferred.
- Four (4) years of advanced and progressive administrative experience and required.
- One (1) year of facilities environment preferred.
- Or an equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the duties of the position.
- Demonstrated ability to exercise good judgment, initiative, and problem‑solving skills.
- Proven organizational, analytical, and planning skills.
- Ability to interpret and follow written instructions and procedures.
- Demonstrated ability to speak and write effectively.
- Demonstrated ability to work and communicate effectively with diverse populations.
- Proficiency with business technology applications such as video/web conferencing and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). A minimum score on a pre‑employment assessment is required for new permanent secretarial/clerical/technician hires.
- Knowledge of and proficiency in contract procurement procedures preferred.
- Familiarity with maintenance work‑management practices and/or facilities CMMS software preferred.
Employee must retain active licenses, certifications, and enrollment as a condition of employment.
- Upon hire, Driver's License (DL) Class C Non‑Commercial issued by Maryland or state of legal residence required.
- Proof of a good driving record required.
- Driving is required to conduct bona fide Board business that is within the scope of employment in this position.
- Board vehicle usage may be required.
