Accounts Payable Specialist

Description We are looking for an Accounts Payable Specialist to support day-to-day payment operations for a long-term contract opportunity based in Pasadena, Texas. This position focuses on accurate invoice handling, timely disbursements, and reliable maintenance of payable records. The ideal candidate brings strong attention to detail, sound judgment in coding and review, and the ability to keep financial workflows organized and on schedule.

Responsibilities:

- Review incoming invoices for completeness, accuracy, and proper approval before processing payment.

- Assign correct general ledger or account codes to invoices and expense documents in line with company procedures.

- Prepare and process vendor payments through ACH transactions and scheduled check runs.

- Maintain up-to-date accounts payable records and supporting documentation for audit and reporting needs.

- Reconcile vendor statements and investigate discrepancies to ensure balances are accurate.

- Communicate with internal teams and suppliers to resolve payment questions, missing details, and invoice issues.

- Monitor payment timelines to help ensure obligations are met within established terms.

- Support ongoing improvements in payable workflows and assist with related administrative tasks as needed. Requirements - Hands-on experience in accounts payable or a closely related accounting support function.

- Working knowledge of invoice coding and account allocation practices.

- Experience processing electronic payments, including ACH transactions, and paper check disbursements.

- Ability to review financial documents with accuracy and strong attention to detail.

- Comfortable handling multiple invoices and deadlines in a fast-paced work environment.

- Proficiency with standard accounting systems and Microsoft Office applications, especially Excel.

- Strong communication skills for coordinating with vendors and internal departments.
