Job Summary

The Administrative Assistant will be responsible for performing administrative activities and requires attention to detail and the ability to work in a fast paced environment providing support to two service centers. The ability to problem solve with a proactive and positive approach to assisting others while maintaining exceptional client satisfaction.

Duties & Responsibilities
  • Handle highly sensitive and confidential information
  • Work in a team environment and maintain a pleasant disposition
  • Manage multiple projects; work independently and efficiently
  • Strong organizational, prioritization skills, and attention to detail
  • Provide administrative support: typing reports/presentations, managing schedules/calendars, coordinating training registration, and arranging travel
  • Coordinate mail (postal service, intercompany, private carrier)
  • Order, receive and maintain inventory of office supplies
  • Assist managers with hiring and staffing service centers
  • Assist the team with budget tracking, goods-receipt and other metric recording
  • Assist the team with time tracking (Kronos) and reporting
  • Assist with monitoring, maintaining and follow-up of day-to-day operational record keeping
  • Adhere to all work-related health, safety, and SOPs, including the Occupational Health and Safety Act
  • Follow up on and resolve payment issues in collaboration with the procurement team
  • Prepare Purchase Orders (POs)
  • Update SAP for Goods Receipts
  • Manage inventory and purchasing of monthly office supplies, water, and cleaning supplies
  • Prepare Purchase Requisition s (PRs) and send POs for training-related expenses, if applicable
  • Ensure payment of all plant-related bills (water, electricity, city-related bills)
  • Assist in planning and scheduling meetings and events
  • Other tasks related to indirect purchasing
  • Manage and process employee timesheets at the site level in collaboration with the payroll team
  • Assist the site manager with daily activities
  • Collaborate with plant personnel
  • Other duties as assigned

  • SAP or experience with Work Order/Inventory Software

Education & Experience

Required

  • Associates Degree in Business Administration or any related field
  • Minimum 5 years of administrative experience in a manufacturing environment
  • Proficient in word processing, spreadsheet and database computer skills, specifically in Google platforms (Google Docs, Sheets, Slides)
  • Must be computer literate

Preferred
:

  • Degree in Business Administration or any related field
  • 8 years of administrative experience in a manufacturing environment
