The scheduling function helps convert customer commitments, project requirements, engineering releases, material readiness, vendor performance, and shop capacity into a clear production schedule that supports predictable execution and reliable delivery.
Position SummaryThe Scheduler is responsible for data entry, daily maintenance, meeting administration, and routine management of the overall production schedule. This role supports the company scheduling function by ensuring schedule information is accurate, current, visible, and communicated to the right stakeholders.
This is a developing scheduler role within the PMO / scheduling organization. The Scheduler I supports the senior scheduling leader by maintaining schedule data, chairing recurring production and scheduling meetings, documenting action items, following up on updates, and helping the business build a scalable scheduling structure across business units.
As the scheduling organization grows, this role may support or become aligned to a specific business unit, such as Medium Voltage (long-cycle work) or Low Voltage (short-cycle work).
Why This Role MattersAccurate schedule data is the foundation for production priorities, project communication, capacity visibility, and executive decision-making. The Scheduler helps protect schedule integrity by keeping the schedule current, facilitating the operating cadence, and ensuring open schedule items are documented, assigned, and followed through to closure.
Key Responsibilities Schedule Data Entry and Daily Maintenance- Maintain and update the overall production schedule in the company-designated scheduling tools, ERP/MRP systems, trackers, or reports.
- Enter new projects, schedule milestones, key dates, production windows, meeting dates, and status updates as directed by the scheduling leader and PMO.
- Update schedule information daily based on input from Project Management, Production Control, Production, Engineering, Procurement, and other stakeholders.
- Maintain clean schedule data, including accurate dates, milestones, owners, dependencies, constraints, and current status.
- Identify missing, outdated, conflicting, or unclear schedule information and follow up until accurate data is obtained.
- Chair and facilitate the weekly production meeting, ensuring the meeting stays focused on schedule status, priorities, constraints, risks, and required actions.
- Prepare meeting agendas, schedule snapshots, WIP summaries, action logs, and other materials required for effective meeting execution.
- Document decisions, action items, owners, due dates, risks, blockers, and follow-up requirements from weekly production meetings.
- Distribute meeting notes and maintain visibility to open action items until closure.
- Escalate unresolved or recurring issues that may affect the production schedule.
- Chair, facilitate, or support project kick-off meetings (KOMs) and scheduling meetings called by Project Management as required.
- Confirm that project schedule assumptions, milestones, handoffs, and timing expectations are captured and reflected in the production schedule.
- Coordinate with Project Managers to ensure project-level updates are accurately represented in scheduling tools and reports.
- Track schedule-related action items coming out of KOMs and project meetings.
- Support consistent communication between the PMO, scheduling function, production control, and operating departments.
- Prepare routine schedule reports, lookaheads, dashboards, meeting packets, and status summaries as directed.
- Maintain visibility to current production priorities, upcoming project starts, at-risk milestones, and near-term schedule impacts.
- Follow up with internal stakeholders to collect progress updates and confirm schedule status.
- Track schedule variances, missing updates, late action items, and other items requiring leadership attention.
- Support the senior scheduling leader with data needed for backlog, revenue, and capacity discussions.
