Job Title Workforce Coordinator (Maritime Training Academy)

Job Description

Responsible for specific skills training as described in respective workforce training agreements and training offered by or in association with MGCCC . Reports to the Workforce Director and/or Associate Vice President of Workforce Solutions for the assigned training projects.

Job Duties

  • Work with MGCCC Workforce Solutions employees to coordinate pre-employment training, incumbent worker training, apprentice OJT , Related Technical Instruction ( RTI ) classes, and other workforce training.
  • Prepare and process contracts, load sheets, new hire paperwork for employees, timecards, payroll, background checks and E-Verify for new employees. Process background checks for all badge renewals as required.
  • Purchase textbooks and supplies through procurement card and/or purchase orders, maintaining detailed records of purchases.
  • Coordinate with college and company personnel to ensure smooth delivery of skills training.
  • Work to improve the methods, content, and curriculum materials for workforce training projects.
  • Attend all departmental, company and college meetings as assigned.
  • Adhere to MGCCC calendar and work schedules unless otherwise directed.
  • Work to maintain proper public relations with the community as a representative of MGCCC .
  • Participate in industry activities as invited, such as ribbon cuttings and meetings.
  • Perform duties independently with excellence and exercise a high degree of initiative in determining the approach/action to take in routine and non-routine situations.
  • Exhibit a high degree of confidentiality.
  • Maintain an accurate and organized filing system that is easily accessible for retrieval of archival records and documents with an emphasis on electronic records management, include direct assistance with preparing for audits conducted by external agencies.
  • Proficiency utilizing Microsoft Office suite including Word, Excel and Power Point.
  • Maintain workflows and assist in keeping prioritized projects on schedule while constantly seeking innovative methods to streamline work.
  • Compile and maintain data on workforce development activities and ensure that all necessary documentation is included in the project.
  • Assist in producing quarterly reports for workforce training. Create and maintain Excel spreadsheets for tracking and documentation of training activities.
  • Compile and produce special reports by selecting relevant information from a variety of sources such as reports, documents, correspondence, electronic files, etc.
  • Create classes and register trainees in Banner, WESS , Lumens, and/or any other appropriate software or platforms.
  • Respond to requests for information from AccelerateMS, which may require independent research and/or interpretation of college policies and procedures.
  • Arrange for college vehicles, transportation, reservations, and lodging requirements as needed.
  • Professionally and courteously accept calls, aiding and administering information to callers when appropriate.
  • Communicate issues or conflicts effectively and timely to the Workforce Director and/or Associate VP of Workforce Solutions.
  • Maintain an effective working relationship with business partners and college personnel.
  • Upgrade skill level and performance through the College’s Employee Development Program ( EDP ), at a minimum of 15 hours annually.
  • Demonstrate exceptional adherence to work schedules and policies as exemplary performance for co-workers.
  • Abide by MGCCC and AccelerateMS policies and procedures including benefits, travel, reporting requirements, timecards, payroll, etc.
  • Perform all other duties as assigned and requested by supervisor.
