SUMMARY
The Part-Time Clerical Assistant provides general administrative and clerical support to the Information Services Department. This role assists with routine purchasing and financial tasks, prepares and maintains compliance-based records and files, and supports standard departmental processes and documentation.
ESSENTIAL FUNCTIONS OF THE JOB- Performs routine purchasing and accounts payable/receivable tasks by preparing, organizing, and updating related documents and files in accordance with established budget, policy, and department procedures
- Maintains orderly financial records and supports basic budget-related processes by ensuring documentation is complete, properly filed, and consistent with applicable policies.
- Assists with general recordkeeping by creating, organizing, and updating files, logs, lists, and simple reports using both electronic and manual systems.
- Provides customer service by responding to routine inquiries from the public, department staff, management, and vendors, and directing questions to the appropriate personnel when needed.
- Supports department compliance efforts by following standard procedures and helping ensure documentation and processes align with existing guidelines.
- Participates in ongoing skill development by attending workshops or training sessions as assigned and staying familiar with relevant office practices.
- Provides general administrative and clerical support to the Information Services department, including data entry, filing, scheduling assistance, and preparation of basic correspondence.
- Proficient knowledge of Franklin County business and financial acumen and the application and interpretation of Franklin County policies and procedures and federal, state, and local rules, laws, regulations, legislation, codes, and ordinances as they relate to area(s) of assignment.
- Proficient knowledge of principles and practices of governmental fiscal management including expenditure control, and sound record keeping.
- General time management and mental and physical organization skills that support the ability to focus, have clarity, and use strategy to fulfill a variety of tasks successfully.
- General skills in data entry, typing, Microsoft Office Suite, and the ability to learn and have proficient skills in the current County-wide and IS enterprise resource planning software.
- Ability to exercise a high degree of independent judgment and discretion and maintain the confidentiality of sensitive and confidential information.
- Ability to write and speak clearly and concisely and to express ideas and recommendations effectively, orally and in writing.
- Ability and willingness to establish and maintain communication and working relationships with peers, representatives from other agencies, vendors, public officials, and the general public using courtesy, tact, and good judgment.
