Our client, a biotechnology company, is looking for a Senior Administrative Assistant to support their team. This role provides high-level administrative support to senior leadership within a fast-paced and evolving environment.
The Senior Administrative Assistant will support executive and leadership teams by managing complex scheduling, travel coordination, meeting logistics, and general administrative operations. The ideal candidate is highly organized, proactive, and able to anticipate needs while managing multiple priorities.
Location:
Berkeley Heights, NJ - hybrid - 3 days onsite
Contract: 12 months
Responsibilities- Provide comprehensive administrative support, including complex scheduling across multiple time zones and coordination with internal and external stakeholders.
- Arrange domestic and international travel itineraries, manage logistics, and process expense reports accurately and in line with policy requirements.
- Proactively manage multiple executive calendars, resolve scheduling conflicts, and prioritize meetings effectively.
- Coordinate off-site meetings, conferences, and internal events, including logistics, materials preparation, and follow-up.
- Support broader team operations by assisting with meeting coordination, presentation and report preparation, and day-to-day administrative tasks.
- Assist with project coordination related to contracting activities, including tracking approvals and supporting purchase order (PO) processes.
- High school diploma required; associate or bachelor’s degree preferred.
- 5+ years of administrative experience in a fast-paced professional environment.
- Strong organizational skills with the ability to anticipate needs and adapt to shifting priorities.
- Professional, proactive attitude with the ability to work independently and collaboratively.
- Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint).
- Strong written and verbal communication skills with excellent attention to detail.
- Ability to manage confidential information appropriately.
- Experience in the life sciences or pharmaceutical industry.
- Familiarity with travel and expense systems (e.g., Concur or similar).
