Position: ACCOUNTING CLERK/CONFIDENTIAL SECRETARY

Title

ACCOUNTING CLERK/CONFIDENTIAL SECRETARY – 12 MONTH – BOARD OF EDUCATION OFFICE

Qualifications
  • Payroll experience and familiarity with double entry accounting
  • Proficient in MS Office/Google Docs applications
  • Excellent organizational skills
  • Able to manage an office and work independently
  • Possess excellent verbal and written communication skills
Reports To

Business Administrator

Responsibilities
  • Prepare and maintain all confidential matters of the Board, including meeting minutes.
  • Perform Payroll input functions.
  • Perform accounts payable functions.
  • Assist with the monitoring of fiscal transactions.
  • Assist with the operations of the school lunch program.
  • Assist with employee absence record keeping.
  • Compile monthly hours tracking reports.
  • Maintain a filing system for confidential files and process incoming correspondence as instructed.
  • Accounts Payable
    • Process monthly accounts payable.
    • Process purchase orders and payments.
    • Match invoices with purchase orders.
    • Maintain accounting records for the payment of monthly bills, including printing the checks and the preparation of the monthly bill list.
    • Handle all discrepancies in quantities ordered and/or amount charged.
  • Lunch Program
    • Reconcile the lunch account and register balance daily.
    • Compile lunch program daily reports for Business Administrator.
    • Process monthly reimbursement claims and warehouse allocations.
    • Assist with daily lunchroom operations as needed.
  • Maintain records of staff attendance on a daily basis for employee sick, vacation, and personal time used.
  • Hours Tracking and Reporting
    • Maintain monthly records totals of all hourly and substitute employee hours worked.
    • Maintain monthly records of all extra compensation paid to all employees.
    • Prepare monthly hours and extra compensation report for the Board.
  • Perform such other duties as assigned by the Business Administrator.
Terms of Employment
  • Twelve month contract; salary range $50,000-$60,000 based on experience and qualifications.
  • Support staff adheres to contractual calendar.
