Position SummaryWe are seeking a highly organized, detail‑oriented, and professional Assistant to the Director of Residential Services to provide administrative support and assist with the daily operations of the Residential Department. This role maintains department records, coordinates reports and correspondence, supports regulatory compliance, and ensures efficient office operations in a fast‑paced environment.
Key Responsibilities- Provide administrative support to the Director of Residential Services.
- Prepare, coordinate, and maintain correspondence, reports, statistics, and other departmental documentation.
- Maintain department files and records in accordance with agency policies and procedures.
- Manage calendars, appointments, and scheduling for the Director as needed.
- Record and relay telephone messages in a timely and professional manner.
- Assist with the preparation and submission of departmental reports and other required documentation.
- Maintain agency databases and electronic records.
- Order and maintain office supplies and coordinate equipment repairs when necessary.
- Prepare requisitions for program supplies and equipment.
- Support department projects and special assignments as directed.
- Attend department meetings and take meeting notes as needed.
- Provide administrative backup support within the department when required.
- Maintain a professional and welcoming atmosphere when interacting with employees, families, vendors, and community partners.
- Ensure confidentiality of sensitive information and records.
- Comply with all agency policies, procedures, and ethical standards.
- High school diploma or equivalent required.
- Previous administrative or office support experience preferred.
- Strong computer skills, including proficiency in Microsoft Office programs.
- Excellent organizational, communication, and time‑management skills.
- Ability to manage multiple priorities and meet deadlines.
- Ability to work independently and as part of a team.
- Professional demeanor and strong customer service skills.
- Post‑secondary education, business coursework, or administrative training preferred.
- Experience working in a nonprofit, healthcare, residential, or human services environment preferred.
