Job Description

One (1) FTE Secretary/Dispatcher

8 Hours/230 Days

Transportation Department. Must possess a High School Diploma, GED, or equivalent and have basic computer skills.

Responsibilities are outlined below.

Responsibilities
  • Receive all radio calls and assist drivers in route needs.
  • Process discipline reports online through DASL.
  • Contact school aide and/or police when needed for drivers.
  • Maintain confidentiality of correspondence and communication.
  • Sort and file pre-trip and fuel log sheets.
  • Receive and route all incoming calls; meet and assist staff/visitors professionally and friendly.
  • Prepare and distribute all department correspondence daily.
  • Professionally handle department correspondence and communication for the supervisor, including writing letters, building spreadsheets, designing PowerPoint, and completing other forms of written communication.
  • Demonstrate knowledge or ability to learn computer programs to support the department (Outlook, DASL, SINC, School Dude, AESOP, Veritime, Versatrans, etc.).
  • Order, process requisitions, receive, store and distribute supplies and equipment daily.
  • Assist with the maintenance of the department budget; process monthly bank statements for the building credit card.
  • File, collate, and copy materials for department purposes and record keeping; maintain office equipment and make calls for repair as needed.
  • Maintain an appropriate department filing system.
  • Call department substitutes when necessary; assist in assigning substitutes and maintaining accurate records of staff absences; report excessive absences to administration.
  • Schedule daily workload in a timely manner and comply with established policies or procedures with limited assistance from supervisor.
  • Assist administration in emergency situations as needed, including injuries/illness of staff and students.
  • Attend all meetings and in-services that affect the building secretary as approved by supervisor.
  • Multitask in a fast-paced environment.
  • Serve as a role model for staff.
  • Perform other duties as directed by the supervisor.
  • Qualifications
    • Valid Ohio driver’s license, or ability to obtain license.
    • High school diploma or GED.
    • One to two years related experience preferred.
    • Successful completion of a basic secretarial skills test.
    • Ability to operate general office equipment (phones, faxes, copiers, computers).
    • Proficiency with Microsoft Office Suite.
    • Dependable, detail‑oriented, self‑directed.
    • Strong organizational, problem‑solving, time management, and communication skills.
    • Must lift, carry, push, pull up to 50 pounds.
    • Willingness to instill ethical principles and democratic values in students.
    Work Conditions
    • Frequent work may extend beyond the normal workday.
    • Occasional exposure to blood, bodily fluids, and tissue.
    • Occasional vehicle operation under inclement weather.
    • Occasional interaction among unruly children/adults.
    • Exposure to loud noises.
    • Repeated hand motions (typing, writing).
    • Physical demands including sit, stand, walk, read, write, reach, stretch, and prop up to 50 pounds.
    • Frequent interruptions by students, visitors, staff, and telephones.
    Evaluation

    Performance of responsibilities will be evaluated by the Transportation Coordinator in accordance with Board policy.
