Job Description Position

Secretary/Dispatcher – One (1) FTE, 8 hours/230 days, Transportation Department

Qualifications
  • High School Diploma, GED, or equivalent
  • Basic computer skills
  • Valid Ohio driver’s license or ability to obtain one
  • One to two years related experience preferred
  • Successful completion of a basic secretarial skills test
  • Ability to operate general office equipment (phones, faxes, copiers, computer equipment)
  • Ability to effectively and efficiently use Microsoft Office Suite components
  • Dependable, detail oriented, strong organization and problem solving skills
  • Effective time management and ability to work effectively with others
  • Set priorities, work well under pressure, multi-task effectively
  • Strong written and oral communication and active listening skills
  • Ability to lift, carry, push and pull supplies up to 50 pounds
  • Willingness to help instill ethical principles and democratic values in students
  • Other qualifications as determined by superintendent/Board
Job Goal

To assure the smooth operation of the school office so that the maximum positive impact on the education of children can be realized.

Performance Responsibilities
  • Receive all radio calls and assist drivers in route needs.
  • Process discipline reports online through DASL.
  • Contact school aide and/or the police when needed for drivers.
  • Maintain confidentiality of correspondence and communication.
  • Sort and file all pre-trip and fuel log sheets.
  • Receive and route all incoming calls, meet and assist staff/visitors in a professional and friendly manner.
  • Prepare and distribute all department correspondence daily.
  • Professionally handle department correspondence and communication for the supervisor, including writing letters, building spreadsheets, designing PowerPoint, and completing other forms.
  • Demonstrate knowledge or ability to learn computer programs to support the department (Outlook, DASL, SINC, School Dude, AESOP, Veritime, Versatrans, other programs).
  • Order, process requisitions, receive, store and distribute supplies and equipment daily.
  • Assist with the maintenance of the department budget, process monthly bank statements for building credit card, and assist with creation of purpose statement.
  • File, collate, and copy materials for department purposes and record keeping; maintain office equipment, order repairs.
  • Maintain an appropriate department filing system.
  • Call department substitutes when necessary, assist in assignments and keep accurate records of staff absences.
  • Schedule daily workload timely, comply with established policies or procedures with limited supervisor assistance.
  • Assist administration in emergency situations (injuries/illness of staff and students, call assistance, etc.).
  • Attend all meetings and in-services that affect the building secretary as approved by supervisor.
  • Ability to multitask in a fast paced environment is mandatory.
  • Serve as a role model for staff.
  • Perform other duties as directed by the supervisor.
  • Work Conditions
    • Frequent work that may extend beyond the normal workday
    • Occasional exposure to blood, bodily fluids, and tissue
    • Occasional operation of a vehicle under inclement weather conditions
    • Occasional interaction among unruly children/adults
    • Exposure to loud noises
    • Repetitive hand motion, e.g., computer keyboard, typing, writing
    • Sitting, standing, walking, hearing, seeing, reading, speaking, reaching, stretching, crouching, kneeling, climbing, stooping as required
    • Lifting, carrying, pushing and pulling supplies up to 50 pounds
    • Frequent interruptions by students, visitors, staff, and telephones
