Veeva Promo Mats Lead

We are seeking a highly skilled Veeva Promo Mats Lead to drive the design, configuration, and optimization of our global promotional review and content management processes. This role is ideal for someone who combines deep Veeva Vault expertise with strong business partnership, solution design, and governance capabilities.

The Promo Mats Lead will serve as the primary owner of system configuration, workflow design, and end-to-end solution delivery across Marketing, Medical, Legal, and Regulatory teams.

Key Responsibilities

Solution Design & Configuration

• Lead end-to-end configuration of Veeva Promo Mats, including document types, life cycles, workflows, metadata, roles, and permissions.

• Translate business requirements into scalable, compliant system configurations.

• Design and maintain MLR review workflows, approval processes, and governance standards.

• Ensure alignment with global and regional regulatory requirements.

Stakeholder Engagement & Requirements Gathering

• Partner with Marketing, Regulatory, Medical, Quality, and IT to gather and refine requirements.

• Facilitate workshops, design sessions, and solution walkthroughs.

• Act as the primary decision-maker for configuration changes and enhancements.

System Administration & Operations

• Manage user provisioning, access controls, and security model updates.

• Maintain controlled vocabularies, taxonomies, templates, and compliance rules.

• Oversee integrations with CRM, DAM, Med Comms, and other Veeva Vaults.

Release Management & Validation

• Lead configuration deployments across environments (DEV/QA/PROD).

• Maintain documentation, release notes, and version control.

• Support validation activities including URS, FRS, DS, IQ/OQ/PQ in partnership with QA.

Testing & Quality Assurance

• Develop and execute test scripts for functional, regression, and UAT cycles.

• Troubleshoot issues, perform root-cause analysis, and implement corrective actions.

Training & User Enablement

• Develop training materials and deliver onboarding for end users and reviewers.

• Provide ongoing support and drive adoption of new features and best practices.

Continuous Improvement & Roadmap Leadership

• Monitor system performance, user feedback, and compliance trends.

• Stay current with Veeva releases and proactively recommend enhancements.

• Lead the Promo Mats roadmap and capability expansion across brands and regions.

Vendor & Partner Collaboration

• Work closely with Veeva and implementation partners to resolve issues and deliver enhancements.

• Manage escalations, service requests, and cross-functional coordination.

Qualifications

• 5-10+ years of experience with Veeva Vault, including at least 3+ years focused on Promo Mats.

• Strong understanding of MLR processes, content management, and regulatory compliance.

• Hands-on experience configuring workflows, life cycles, metadata, roles, and permissions.

• Experience with GxP, 21 CFR Part 11, and validation documentation.

• Excellent communication, stakeholder management, and problem-solving skills.

• Ability to lead cross-functional discussions and drive decisions.

• Experience with integrations (CRM, DAM, Med Comms) is a plus.
