Job Summary

The Deputy Program Manager supports compliance strategies and customer success activities to maximize federal contract performance and ensure adherence to all regulatory and operational commitments. This customer-facing role leads the daily execution of program goals and objectives and expands federal compliance programs to ensure contract requirements, documentation, and standards are met. This role includes monitoring federal program compliance, managing customer communications tied to SEWP, ITES, GSA, and other current and future GWAC/IDIQ/BPA contracts, maintaining documentation across contracts and task orders, and supporting internal stakeholders with timely program and contract updates.

The Deputy Program Manager reports to the Senior Federal Program Manager on the SHI Pub Sec Federal Programs and Development Team. The position will interact daily with SHI Federal sales and support staff at SHI headquarters in Somerset, NJ and field staff based in Washington DC.

Role Description Compliance
  • Develop, manage, and maintain a comprehensive federal compliance program ensuring all applicable requirements and standards are met.
  • Proactively identify and assess risk areas and create mitigation plans.
  • Maintain effective working relationships with internal departments, stakeholders, and legal and Public Sector compliance teams.
  • Monitor and audit contract clause repository and ensure proper documentation, including maintaining the federal SharePoint page for accuracy.
  • Develop and administer new hire additions, and report on federal compliance training and education programs to Senior Program Manager.
  • Monitor changes in relevant laws, regulations, and standards.
  • Assist in developing policies and procedures to ensure compliance.
  • Educate and train sellers and partners on proper contract usage.
  • Work with assigned data analysts to ensure timely delivery of fees, sales reports, and data-related deliverables.
  • Maintain internal resources for integral contract information, including security posture monitoring and POAM update to SPRS Maintain repository of contract master agreements, contract clause deviations and additions, GSA MAS Refreshes, and contract modifications.
Contract Management
  • Review and finalize contracts and related documents with oversight from Senior Federal Program Manager
  • Ensure the accuracy and consistency of contract data
  • Provide contract updates, modifications, and onboarding
  • Track contract status, deadlines, and renewals
  • Submit contract-related reports for internal and external stakeholders
Customer and Program Success
  • Manage the contract alias inbox and respond to inquiries regarding regulatory matters.
  • Manage contract report submissions.
  • Create and maintain contract STNs, ensuring accuracy and up-to-date ETA information.
  • Respond to and resolve all contract cases.
  • Assist in collection of required documentation for annual GSA CAV review and maintain any documentation in Federal Repository along with our final report.
  • Manage the Purchase Order (PO) portal for the federal contracts under purview.
  • Provide timely ETA and tracking updates for GSA-related orders.
  • Monitor contract bid rates.
  • Monitor contract Letters of Authorization (LOAs), Letter of Supply (LOS) and OEM pricing catalogues, and GSA approved EULAs for validity.
Internal Coordination
  • Coordinate daily contact between internal teams to facilitate a smooth and accurate management of federal contracts and related documentation
