Lead Secretary (Elementary/Middle/High School)
The job of Lead Secretary (Elementary/Middle/High School) is done for the purpose of providing secretarial support to school-site principal and other administrators, conveying information regarding school functions and procedures; ensuring compliance in a timely fashion with school's financial, legal and administrative requirements; and overseeing the office activities in support of the services provided to students, parents, instructional and support employees.
Exemplary duties and responsibilities include overseeing the office staff, contributing to the evaluation of other office secretaries, coordinating cross-training of all office secretaries, attending meetings as assigned, compiling data from a variety of sources, composing documents, coordinating and/or monitoring a variety of site-based programs and/or activities, maintaining and/or monitoring documents, files and records, monitoring assigned district activities and/or program components, orienting new site personnel, preparing written and supporting materials, processing and/or monitoring documents and materials, researching discrepancies in processes and/or documentation, responding and/or monitoring inquiries from internal and external parties, screening and/or monitoring inquiries, supporting assigned administrative personnel, ensuring office phones and intercoms are answered promptly, ensuring all visitors/guests are promptly attended to, assuring timely and accurate data entry for reporting purposes, and performing any other administrative office tasks as assigned by building Administrator.
Skills, knowledge, and abilities required include operating standard office equipment, performing standard bookkeeping and record keeping procedures, administering first aid, performing basic math, reading a variety of manuals, writing documents following prescribed formats, analyzing situations to define issues and draw conclusions, scheduling activities, meetings, and/or events, gathering, collating, and/or classifying data, using basic, job-related equipment, communicating with diverse groups, maintaining confidentiality, meeting deadlines and schedules, setting priorities, working as part of a team, working with detailed information/data, and working with constant interruptions.
The responsibility working environment includes working under limited supervision, directing other persons within a small work unit, and directing the use of budgeted funds within a work unit. The working environment requires some lifting, carrying, pushing, and/or pulling; significant fine finger dexterity; 60% sitting, 10% walking, and 30% standing; and is performed in a generally clean and healthy environment.
Experience with increasing levels of responsibility is required, and a high school diploma or equivalent is needed. Required testing includes a pre-employment proficiency test. Continuing education/training must be attended for district sponsored professional development for Secretaries. A valid State of Rhode Island driver's license with an acceptable driving record is required, and a National BCI check is mandatory.
Compensation and benefits include a salary of a Lead Secretary, full PSD compensation package, and hours of 8:00AM – 3:30PM for Elementary and 7:30AM – 2:45PM for Middle/High School.
