Purpose

The purpose of this position is to facilitate the process of new case filings in the court. The role involves assisting with customer service over the phone or in person, processing mail, motions, and completing other procedures required for case management. The candidate will provide detailed assistance with civil matters such as orders of protection, injunctions of harassment, and forcible detainers, and will assist the criminal clerk with sentencing for criminal cases that require fine and surcharge details.

This position processes incoming cases and orders, maintains files, provides customer service, and serves as backup for a criminal clerk.

Essential Duties and Responsibilities
  • Provide customer service and offer policy and procedural answers regarding civil and traffic cases on the phone or in person. (60%)
  • Maintain the filing system and process department mail, including motions and other filings related to case processing and management. Issue correspondence, review files, and determine the best procedure as needed. (20%)
  • Process incoming civil cases, small claims, orders of protection, injunctions against harassment, forcible detainers, and traffic cases with some criminal entry. (10%)
  • Serve as backup for the criminal clerk by processing criminal and traffic payments and helping train new clerks. (10%)
  • Perform other duties as assigned.

  • Oral communication duties: trains colleagues, explains county procedures or processes, and responds to public inquiries.
  • Written communication duties: creates or edits documents, internal memos, emails, formal letters, and reports; writes basic correspondence to customers; prepares forms and copies for files and customers.
  • Interactions with the general public: interacts extensively with employees, customers, vendors, regulatory bodies, and other groups or individuals over the telephone, by email, and/or in person.
  • Interactions specifically with customers: always (more than 85% of the time).
Minimum Education and Experience
  • High School Diploma or GED.
  • One year court clerk experience and knowledge of case processing systems, or an equivalent combination of education, training, and experience.
  • Must possess and maintain a valid Arizona Driver’s License if the position duties require.

  • Occasionally stand to attend to a cash register.
  • Regularly lift under 10 lbs. of work‑related materials or equipment.
  • Constantly requires dexterity for keyboard operation.
  • May need to routinely walk, bend, stoop, crawl, kneel, and twist.
Work Environment

The incumbent spends time in an office environment, lobby, and reception area.

Safety Risk Exposure

Generally not exposed to safety risk, but may occasionally experience telephone and in‑person verbal abuse, emotional individuals, or strangers with weapons.

Protective Gear & Safety Manuals

Must constantly follow written safety procedures and manuals relevant to the division or department.
