Covenant Christian Academy has an opening for a full-time Main Office Manager. The Main Office Manager serves as the school receptionist and provides general administrative support to Administrators. The Main Office Manager is our first point of contact with our parents and guests, so it is critically important that the Office Manager create a warm, friendly, helpful, and professional impression on everyone he/she interacts with.
A successful Main Office Manager will have superb communication skills, both spoken and written. Strong organizational and time management skills, and the ability to multi-task responsibilities (while fielding questions and requests from students, parents and staff) is also required. As the center of administrative activity, the Main Office Manager will also troubleshoot procedures and processes that can be improved on and pro-actively offer suggestions for streamlining.
Lastly he/she will demonstrate an active interest in maintaining the school’s reputation and will show discretion with sensitive school and family information.
- Serve as Main Office receptionist, answering the phone, monitoring the doors, making announcements, greeting visitors, and assisting staff, parents and students with general front office needs.
- Manage Mail and Deliveries. Distribute or notify staff of mail, packages and other delivered items in a timely fashion. Sort and distribute mail daily. Set up mail holds over school breaks. Handle Mail Merges, print mailing labels and coordinate mailings to school families and broader school groups.
- Manage General Office Communication tools. Manage and respond to all incoming email and voice mail. Maintain the school Google Calendar ensuring it is accurate and up to date. Manage family and student information in FACT SIS, including the timely update of address, phone and email changes. Send out emails to all school families as needed.
- Manage the Maintenance of Office Equipment. Call for service and supplies for all copiers as necessary.
- Manage Administrative and Academic Data
. Take and record the GS attendance each morning and email a daily absentee report. Maintain electronic files for all forms in the Main Office. Process Field Trip Request Forms and Calendar Request Forms. Notify the necessary people who are affected by the requests, i.e. school nurse, specialist, music lesson instructors. Run the Volunteer Driver Record checks and file them in the Business Office.
Carefully maintain envelopes for the various collections. Complete and send all private school town reports and the State Dept. of Education Annual Report - Assist with planning and implementing school-wide events. Including but not limited to picture day, Back-to-School Socials, Grandparents’ Day, Graduation, etc.
- Administrative Support for Administrators including the Head of School, Business Office, the Admissions Office, the Advancement Office, and Grammar School Principal. Tasks may include copying work, collating, support for mailings, distribution of flyers and notices, email communication, and assisting with calendar and appointment management for Administrators.
- Strong computer skills, and experience using a Mac computer. Competence with Mac suite of office software (Pages, Keynote, Numbers) as well as Microsoft Office products (Word, Excel). Comfortable navigating and using our school information system (Veracross).
- Bachelor's degree and have 2+ years experience in an administrative position or a related field
- Must be willing commit to the Academy's statement of faith.
- Must have excellent communication skills are necessary; the position requires regular interaction with a wide variety of constituents including parents, faculty, Board members, bank and condo association representatives, and donors.

Monday to Friday, 7:30-3:30pm
