Office Administrator/ Coordinator
The Administrative Assistant is responsible for providing a wide range of support functions to the administrative team of Catholic Charities Child Care. The daily responsibilities of the position are integral to maintaining a well‑organized and effective support system at the center.
Schedule:
Monday – Friday 3–6pm. More hours are available as needed, including covering AM receptionist duties for those with experience working with children. Additional hours may be offered for substitute teaching as needed.
- Perform general administrative duties.
- Complete attendance forms for programs on a weekly basis.
- Greet and direct clients and visitors.
- Ensure employees and visitors sign in and out of the daily building logbook.
- Answer and direct phone calls in a pleasant and timely manner.
- Accept package and mail deliveries; receive and distribute incoming mail.
- Prepare outgoing mail and ensure timely delivery to the post office.
- Maintain office supplies and place orders with prior supervisory approval.
- Maintain and organize files, contact information, documents, and database systems.
- Oversee upkeep of meeting rooms and order food and beverage as needed.
- Prepare invoices in a timely and efficient manner.
- Assist staff during emergency evacuation of the building, which may include lifting children weighing up to 50 pounds.
- Work in a community program and office environment with daily use of office equipment.
- Stand, sit, and lift as required; extended periods of activity are typical.
- Attend internal and external meetings and training sessions as required.
- Perform other responsibilities as assigned.
- Associate degree, high school diploma, or equivalent.
- Minimum 3–4 years of prior administrative support experience, preferably in childcare programs.
- Pleasant phone manner with strong communication skills.
- Professional, positive, and patient demeanor.
- Highly organized and able to multitask.
- Proficient typing and editing skills.
- Attentive to detail.
- Competent with Microsoft Office Suite, Office 365, Outlook, Excel, and Zoom.
- Strong internet skills.

The base pay range reflects what Catholic Charities reasonably and in good faith expects to pay for this role at the time of posting and may be modified from time to time. Actual compensation in this range may be determined based on other factors, including but not limited to work experience, education and specialty training.
