The Shipping and Receiving Clerk manages the full flow of shipping office and receiving activity — from invoicing and customer will-call transactions to inbound delivery scheduling, PO# data entry, and receiving of incoming product. This role works very closely with the Logistics Transportation Coordinator to align inbound and outbound schedules, truck yard/dock assignments, and vendor and carrier communication, serving as the day-to-day point of contact for customers, vendors, and drivers on the shipping office floor.
Strong organizational skills, accuracy under pressure, and clear communication are essential in this fast-paced, high-growth environment.
- Prepare and print invoicing for Warehouse Selectors
- Review and print invoices for customer pickups and deliveries
- Perform general clerical work including filing, typing, data entry, planning & coordinating pickups, and running reports
- Plan and coordinate the inbound delivery schedule with vendors and dispatch
- Receive and enter data for incoming PO#s into the system
- Apply knowledge of receiving procedures for incoming meat product, including lot assignment and internal recordkeeping procedures
- Coordinate and direct truck yard traffic, including assigning available doors for receiving
- Work closely with the Logistics Transportation Coordinator to align inbound and outbound scheduling and resolve dock, yard, or routing conflicts as they arise
- Promptly and professionally answer incoming phone calls and address questions for customer will-calls and internal employees
- Communicate with customers, vendors, and drivers with a positive attitude and the ability to prioritize and problem-solve
- Return customer and vendor voicemails and emails in a timely manner
- Communicate with team members to ensure effective operation and interdepartmental collaboration
- Communicate effectively with managers and all Bertolino Foods employees
- Count and handle cash and checks from customers picking up their orders
- Perform all duties necessary to meet SQF, Bertolino Foods, and government requirements
- Inform management of any food safety or quality issues
- Comply with all health, sanitation, GMP, and USDA regulations as described in the Employee Handbook and other policy and procedure documents
- Ensure a clean, safe, and organized work area
- Notify supervisors and management of any issues, inventory errors, or customer concerns that require additional assistance
- Follow and understand verbal instructions in a fast-paced environment and work effectively under immediate supervision
- Maintain a strong sense of time organization and urgency, juggling multiple projects and competing priorities in a fast-paced, high-growth environment
- Ability to work independently and within a team
- Perform additional tasks from time to time as determined by Bertolino Foods in its sole discretion
- Minimum 2 years of experience in one of the following:
Food Industry, Warehouse, Shipping & Receiving, Transportation, or Manufacturing - Excellent planning and organizing skills
- Strong oral and written communication skills
- Strong analytical and problem-solving skills
- Ability to act with integrity, professionalism, and confidentiality
- Knowledge of inventory systems, CRM, and Microsoft Office suite (Word, Excel, PowerPoint, Outlook), and ability to navigate and research the internet
Bertolino Foods is looking for a detail-oriented Shipping and Receiving Clerk to join our Warehouse & Transportation team in Peabody, MA. This role manages daily shipping and receiving operations for the site, working Monday through Friday, 6:00 AM to 2:30 PM
, and handling everything from invoicing and customer will-calls to inbound scheduling and receiving of incoming product. Delivering excellent customer service to the customers, vendors, and drivers you interact with every day is just as important as keeping the paperwork and product moving. You'll work closely with our Logistics Transportation Coordinator and Transportation Manager to keep product moving smoothly in a fast-paced, high-growth environment.
