The Pre-Aclerk II position is responsible for examining, verifying, and processing financial transactions, payroll documents, invoices, purchase orders, contracts, and other fiscal records to ensure compliance with applicable laws, regulations, policies, and procedures.
Major responsibilities include examining and processing invoices, vouchers, purchase orders, contracts, travel claims, accounts payable and receivable, deposits, reimbursements, payroll records, timesheets, leave records, and other fiscal transactions for completeness, accuracy, legality, and compliance with applicable laws, rules, policies, procurement requirements, collective bargaining agreements, and fiscal procedures. The position verifies the availability of funds, ensures expenditures are charged to the appropriate appropriations and accounting codes, reconciles financial records, researches discrepancies, and maintains accurate fiscal files, supporting documentation, and audit trails.
The position also prepares reports, correspondence, spreadsheets, and financial summaries; assists management with budget monitoring, expenditure tracking, and fiscal reporting; and provides guidance to staff regarding fiscal procedures, procurement processes, documentation, and payment requirements. Duties also includes assisting with internal and external audits, responding to requests for financial documentation, and performing other related fiscal and administrative duties as assigned.
Education:
Graduation from high school or possession of a GED
General
Experience:
One (1) year of responsible clerical work experience which demonstrated knowledge of arithmetic and required the ability to read and understand oral and written instructions, communicate effectively, and perform arithmetic computations
Specialized
Experience:
One (1) year of responsible clerical work experience involving the preparation and processing of payroll records, vouchers, invoices, statements, purchase orders, fiscal records, or related accounting documents.
This position is exempt from the State Civil Service Law and is considered temporary in nature. Employment is at will and may be terminated at the discretion of the Department of Corrections and Rehabilitation in accordance with applicable laws and policies.
