General Description

The purpose of this job within the organization is to oversee and perform a variety of clerical duties related to the maintenance of court records, as well as supervising the Municipal Court Clerks.

This job works under close to general supervision according to set procedures, but determines how or when to complete tasks.

Duties and Responsibilities

The functions listed below are those that represent the majority of the time spent working in this job. Management may assign additional functions related to the type of work of the job as necessary.

Essential Functions
  • Assists customers at the window and on the telephone with fine payments, court dates, trial settings, defensive driving and other inquiries.
  • Provides leadership and direction to staff in conjunction with the Municipal Court Administrator.
  • Supervises clerks to ensure the court operating standards are upheld.
  • Assists the Municipal Judge in courtroom, on the computer, and with paperwork for arraignments, trials, and hearings when needed.
  • Records case disposition, court orders, and arrangement for payment of court fees.
  • Receives and processes faxes from defendants and attorneys.
  • Prepares records case disposition, court orders, and arrangement for payment of court fees.
  • Collects court fees or fines and records amounts collected.
  • Performs computer data entry of all citations and other Class "C" misdemeanor charges filed in Municipal Court.
  • Examines legal documents submitted to court for adherence to law or court procedures; prepares cases or routes documents; mails or faxes correspondence from the court or judge to defendants and attorneys.
  • Performs necessary paperwork and follows up on citations, arrests, cash bonds, bail bonds, PR bonds, and affidavits.
  • Explains procedures or forms to parties in case.
  • Trains, monitors, and oversees Deputy Court Clerks when the Municipal Court Administrator and Chief Court Clerk are out of office.
  • Assists customers at the window and on the telephone with fine payments, court dates, trial settings, defensive driving and other inquiries.
Additional Duties
  • Assists appraising performance with supervisor, assisting with rewarding and disciplining employees, addressing complaints, and resolving problems.
  • Monitors daily activities of court clerks and assists supervisor in assigned daily tasks.
  • Performs computer data entry of citations and other Class "C" misdemeanor charges filed in Municipal Court; maintains and updates all records on computer.
  • Processes local/state reports to other departments and various State Agencies, citations, voided and missing citations reports.
  • Provides leadership and direction to staff in conjunction with the Municipal Court Administrator.
  • Balances cash drawer and daily deposits.
  • Prepares docket or calendar of cases to be called.
  • Processes warrants and enters information onto Southeast Texas Crime Information Center (SETCIC) database.
  • Maintains forms for daily operations of the court in our software system.
  • Orders interpreters for court hearings
  • Records trial stats for monthly reports.
  • Subpoenas defendants for trials.
  • Processes monthly, daily, and weekly reports.

    Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Performs related work as assigned.
Minimum Education and Experience Requirements

Requires High School graduation or GED equivalent supplemented by specialized courses/training equivalent to completion of one year of college in business, law, or closely related field. Requires two years general clerical and detail related work in a legal setting or closely related experience. The preferred way to obtain the minimum knowledge, skills and abilities to perform the essential duties and responsibilities of this position are listed below.
