Overview
One of our major oil and gas clients is seeking an Administrative Assistant to work on a 12‑month assignment in their facilities in Pecos, TX. This position provides comprehensive administrative support within the Capital Projects Onshore organization and directly supports the Project Manager and the project team.
Responsibilities- Discreetly and routinely handle confidential information and communications.
- Establish a positive and professional working relationship with team members, business leaders, and other staff members.
- Manage Outlook calendars and schedule domestic and international travel.
- Coordinate pre‑reads and process expense reports.
- Coordinate logistics and agendas for meetings, conferences, events, and special functions.
- Support onboarding and off‑boarding of employees and contractors.
- Build alignment with key support, LT, and Admin network of the organization.
- Build and maintain positive relationships and utilize existing relationships with Houston and San Ramon executive assistants to schedule as appropriate and resolve conflicts.
- Exercise flexibility and problem‑solving abilities to adjust and prioritize schedules.
- Use good judgment in making sound decisions quickly.
- Maintain a high level of integrity and discretion in all activities.
- Adapt readily to the needs of diverse work groups and remain calm under pressure.
- Work in a fast‑paced environment juggling multiple projects or tasks at once and prepare to take on something new with only a moment's notice.
- Anticipate needs with an attention to detail and demonstrate strong consistent performance.
- At least 15 years of relevant experience in administrative support.
- Self‑motivated and able to work independently as well as in teams.
- Ability to multi‑task and use independent judgment within the scope of responsibility.
- Advanced skills in MS Office (PowerPoint, Word, Outlook, One Note, Teams, Excel) and SAP Concur expense reporting.
- Ability to support travel booking, including international trips and visa application documents.
- Strong collaborative and people skills with the ability to work with a diverse workforce.
- Strong organization skills and attention to detail.
- Excellent communication skills in a clear, concise, and effective manner, orally and in writing; good listener; maintains a tactful and professional demeanor in all situations.
- Ability to build alignment, communicate effectively at all levels of the organization, and convey ideas.
- Ability to take initiative, prioritize and meet deadlines often under changing circumstances.
- Ability to adapt quickly and work in a fast‑paced environment.
- Must be discreet with confidential information and demonstrate integrity.
