The Materials Management Clerk is responsible for ordering, receiving, storing, issuing, and delivering supplies throughout the organization. This position ensures appropriate inventory levels are maintained and that purchasing procedures are followed in accordance with District policy.

All Reeves Regional Health (RRH) employees are expected to perform their responsibilities in accordance with RRH policies, accrediting organizations, federal and state regulations, and Centers for Medicare and Medicaid Services (CMS) guidelines, as applicable.

Requirements

Job Qualifications:
  • Education:

    High school diploma required; associate's degree preferred.
  • Experience:

    Minimum of one (1) year of experience in purchasing, procurement, inventory management, or a related field preferred.
  • Knowledge, Skills, and Abilities:
  • Strong organizational and inventory control skills
  • Effective written and verbal communication skills
  • Basic negotiation and vendor communication skills
  • Ability to follow written and verbal instructions
  • Basic computer proficiency
Essential Duties and Responsibilities:
  • Stocks all assigned departments in accordance with established par levels set and approved by the respective Department Director and the Director of Materials Management.
  • Orders, receives, and stocks supplies as required to maintain appropriate inventory levels.
  • Updates par levels and processes additions or deletions as directed.
  • Ensures supplies are properly stored, labeled, and tagged with correct item numbers.
  • Orders office supplies as needed.
  • Purchases products and materials in accordance with District purchasing procedures.
  • Prepares purchase orders for Director approval and places orders as required.
  • Coordinates warehousing and inventory control functions.
  • Delivers received supplies to appropriate departments, including items charged directly to departmental purchase orders.
  • Fills stockroom orders for items not maintained on established par levels.
  • Picks up locally purchased supplies when necessary.
  • Assists with departmental printing needs when assigned.
  • Distributes incoming mail and packages to appropriate personnel or departments.
  • Assists the Director of Materials Management with inventory control for supplies and equipment.
  • Monitors and verifies inventory levels to ensure adequate stock availability.
  • Assists in preparing and conducting physical inventories.
  • Restocks areas depleted due to emergency situations when needed and may travel to obtain urgent supplies if required.
  • Must participate in required after-hours and on-call coverage as assigned.
  • Reviews invoices against purchase orders for accuracy.
  • Assists in sourcing products and obtaining vendor quotes.
  • Removes expired or obsolete inventory from departments and warehouse areas.
  • Provides guidance and training to departments on the proper preparation and submission of purchase requisitions in accordance with the Districts purchasing policies.
  • Receives, inspects and processes shipments and packages in accordance with the established departmental procedures.
  • Required Skills and Qualifications:
    • Interacts professionally with all hospital departments.
    • Maintains positive working relationships with vendors and suppliers.
    • Maintains confidentiality while handling sensitive information.
    • Assists the Director of Materials Management in their absence or as time permits.
    • Complies with all District safety policies and procedures.
    • Performs other duties as assigned by the Director of Materials Management.
    • Must maintain flexibility in work schedule, including availability for weekends, holidays, emergency situations, and required after-hours coverage as operational needs dictate.
